The Mississippi Watershed Management Organization is seeking an Administrative and Facility Operations Manager to join the team. This position is responsible for performing skilled to highly skilled administrative and operational support functions for the organization to effectively and efficiently advance its mission.

Ensure the efficient, secure, and cost-effective operation of administrative functions and facility infrastructure by optimizing processes, managing resources, maintaining compliance with regulations, and supporting a productive and welcoming environment that aligns with organizational goals.

Major Areas of Accountability/Essential Job Functions

  • Serve as the first public point of contact for the office, routing calls or directing visitors as appropriate.
  • Perform administrative and clerical services for the organization to maintain efficient daily office workflows, including invoicing, filing, scanning, copying, the organization and distribution of office mail, and generally expediting the flow of paperwork to ensure work processes are completed in a timely, accurate manner.
  • Ensure a safe work environment by leading the development, implementation, and continuous improvement of the organization’s safety committee and workplace safety program alongside.
  • Assist the Executive Director with coordinating and scheduling meetings, responding to emails, completing special projects, and other administrative tasks as needed.
  • Facilitate board meetings through the preparation of board agenda, packets and minutes, posting of all required public notices, and management of meeting logistics.
  • Independently manage and coordinate building operations and contractors. This includes but is not limited to the security system, HVAC/geothermal system, commercial cleaning contract, etc.
  • Proactively monitor, address, and facilitate remediation of building maintenance issues such as plumbing, roof repair, landscaping and general cleanliness, etc. 
  • Manage day-to-day building operations, including coordinating reservations and tours, ordering supplies, setting up/cleanup of rooms, logistics, maintaining kitchenette, etc., to ensure the cleanliness, usability, and appearance of the organization’s physical facilities.
  • Carry out administrative assignments as directed, including researching, compiling, and organizing information/data, supporting projects, programs, and coordination of activities.
  • Assist in the collection of documents and information for MWMO’s audit, annual financial reporting, and annual report.
  • Coordinate and attend various meetings for administration, program, and team leaders. Take meeting minutes as directed.
  • Participate and collaborate as a member of staff teams in conducting all MWMO activities by contributing ideas and providing feedback for activities to ensure effective internal and external communication.
  • Attend and facilitate staff meetings and related activities, attend workshops, conferences, and classes to increase knowledge, and serve on committees as assigned.
  • Work collaboratively with and provide support as needed to the watershed staff, consultants, interns, and volunteers.
  • Perform miscellaneous office support tasks, special projects, and other responsibilities as assigned.

Accountabilities for Supervision

This position may be responsible for contractor, intern and volunteer supervision and performance. This may include:

  • Providing work direction.
  • Monitoring the work performance of assigned contractor or intern on a continual basis, participating in effective performance appraisal, and working with the Executive Director or their designee to initiate corrective action if necessary.
  • Creating a working climate in which all contractors, personnel, and volunteers are motivated to develop their skills and abilities and will demonstrate, by personal example, the desired standards of conduct and work performance.
  • Administering MWMO policies in a fair and equitable manner about breach of contracts, discipline, or insubordination, and fully documenting all incidents and actions taken.

Accountabilities for Collaborative and Team Participation

  • Orienting new employees to organizational programs and team concept.
  • Conducting training for new employees when appropriate to ensure established procedures are clearly understood and followed.

Knowledge, Skill, and Abilities

Education

Minimum of a high school diploma or equivalent. Associates degree in business or office administration or a related field of study is preferred, or a combination of relevant education/experience/professional licenses may be considered.

Experience

  • Experience in an office setting is required.
  • Experience working with the public and/or government entity is preferred.

Additional Skills Required

  • Able to display excellent organizational, verbal, and written skills, especially with respect to grammar, punctuation, and spelling.
  • Able to display excellent interpersonal communication and customer service skills.
  • Ability to organize and prioritize workloads, work under pressure, and adapt to meet deadlines.
  • Ability to work independently and make decisions within scope of authority.
  • Proficiency working with computers and Microsoft Office Suite, as well as the initiative to learn new software as needed.

Compensation

The starting salary range for this position is $60,500–74,000 annually, with a flexible schedule of 40 hours of work per week and a competitive benefits package.

Commitment

This position is on-site M-F 8:00am-4:30pm and may occasionally assist with programs and events outside of normal working hours.

The Mississippi Watershed Management Organization works to protect and improve water quality, habitat, and natural resources in an urban watershed that drains directly into the Mississippi River. The MWMO partners with our member communities to invest in green infrastructure that captures, cleans, and reuses stormwater and conducts education and outreach to promote active environmental stewardship among residents. Our team monitors and tracks water quality in the watershed to help target projects, share accurate water quality information, and ensure the MWMO is following best practices and the current science in all work we do.
