Administrative Assistant
The Greenwich Tree Conservancy, founded in 2007, is a nonprofit organization dedicated to preserving and enhancing the urban tree canopy of Greenwich, Connecticut. Through tree planting, advocacy, education, and community engagement, the GTC works to protect the town’s natural canopy and promote the ecological, health, and quality-of-life benefits trees provide. The organization has planted thousands of trees in partnership with the Town of Greenwich, established the Greenwich Town Arboretum, and hosts events and programs to raise awareness and foster stewardship of the urban forest.
General Purpose: Seeking a multi-faceted professional with good organizational and computer skills to assist the Executive Director and Board of Directors in administrative duties including maintaining donor information databases, managing social media, and performing office duties.
Part-Time Position ~20 hours per week
Hybrid available, some office hours required. Occasional weekend/evening hours required.
Position and Responsibilities:
- Answers office phone calls and responds to emails sent to the Greenwich Tree Conservancy information account
- Checks PO box for mail
- Monitors and maintains office equipment and supplies, restocking when necessary
- Uploads and organizes files on Google Drive and assists with paper filing as needed
- Uses Little Green Light to maintain donor database, input donation information, generate event registration frameworks, and create other forms as needed
- Updates and maintains social media accounts, including Facebook, Instagram, and Twitter/X
- Composes and sends out news, event information, and other updates via Constant Contact
- Uses Canva or similar design software to design graphics and flyers
- Updates website using Wordpress to reflect new events and other information
- Assists with Annual Appeal and other mailings
- Assists with special events, including occasional evening and/or weekend hours
- Maintains and updates records for ongoing initiatives and programs
- Maintains list of press contacts and drafts and sends out press releases
Recommended Knowledge, Skills, and Traits
- Nonprofit experience
- Oral and written communication skills
- Computer literacy including familiarity with Microsoft Office and Google Workspace
- Knowledge of office equipment such as printers
- Office organization and management skills
- Preparing and sending emails via Constant Contact
- Experience with Little Green Light or similar donor management software
- Experience with social media and nonprofit communications
- Experience with Canva or similar graphic design software
- Experience with Wordpress or similar website management systems
