Position Title: Administrator

Position Type: Part-Time (20 hours/week) | Remote with some in-person meetings
Compensation: $25-28/hour ($26,000-$29,120/year), based on experience

About Us

Hampden-Hampshire and Franklin Conservation Districts (HHCD & FCD) are part of a state-wide network of grant-supported organizations that support sustainable agriculture and natural resources conservation in western Massachusetts. We collaborate with the USDA’s Natural Resources Conservation Service, American Farmland Trust, and several local organizations to deliver educational programs and conservation initiatives. Each District is led by a volunteer board of elected Supervisors.

We are hiring a shared Administrator to support both districts in a key operational and strategic role.

Position Overview

The Administrator plays a central role in writing and managing grants, supporting the Board,  maintaining records, and handling communications. The role requires exceptional interpersonal communication and writing skills, strong organizational skills, and the ability to work effectively and collaboratively with a high degree of autonomy.

Key ResponsibilitiesAdministration & Communications

  • Provide administrative support to both HHCD and FCD Boards
  • Manage email and mail correspondence, respond to phone messages
  • Manage contact lists; communicate with district audiences, partners and contractors
  • Mintain organized electronic and physical filing systems
  • Coordinate board meetings: prepare agendas, send invitations and reminders, take and distribute minutes and supporting materials,
  • Ensure compliance with Massachusetts Open Meeting Law

Grants Management

  • Identify and pursue funding opportunities aligned with the Districts’ mission
  • Prepare and submit grant applications with input from the Boards and colleagues; communicate effectively with fund representatives
  • Track grant timelines, submit reports, disbursement and reimbursement requests on time
  • Maintain accurate records for all grant-related activities
  • Develop and manage systems for grant fund accounting and compliance

Finance & Reporting

  • Work with the Treasurer on reports, payroll, insurance contracts
  • Manage annual financial review, tax reporting and workers compensation audit
  • Maintain and organize financial and legal documentation

Preferred QualificationsEducation & Experience

  • 5+ years of accounting/financial management and office administration
  • Associate’s degree (or higher)
  • Experience in grant writing, management and reporting
  • Based in Western Massachusetts with experience working within or in a context related to land, water, soil conservation, agriculture or forestry

Skills & Abilities

  • Highly organized, self-motivated, and detail-oriented
  • Handles District relationships with care and prioritizes listening
  • Excellent written and verbal communication
  • High performing, independent worker and collaborative team member
  • Ability to manage multiple priorities and meet deadlines
  • Proficient in Google Suite: Gmail, Docs, Sheets, Slides and Forms

Additional Details

  • Fully remote position with regular trips to the district offices in Hadley and Greenfield, and occasional in-person meetings
  • Some monthly board meetings are held in the evening
  • A laptop is available if needed
