American Conservation Experience (ACE)  is a dynamic non-profit organization dedicated to providing rewarding service opportunities to over 1,500 members (youth and young adults) each year, and does so with a skilled staff of approximately 150 employees across the U.S. ACE has a national reputation for providing professional development opportunities on a variety of conservation projects for the U.S. Forest Service, Bureau of Land Management, National Park Service, U.S. Fish and Wildlife Service, and numerous state and local land management partners, either with crew based work or with individually placed interns.
Job Title: AmeriCorps Program Support Coordinator

Location: ACE Office Location/Remote (USA)

Department/Division: PRG-OPS

Status: Regular Full - Time, Salaried (Exempt)

Schedule/Hours: Full-time, 40 hours/week (Monday - Friday, flexible hours but expected to be on duty during ACE Core Business Hours of 12:00 pm - 5:00 pm Eastern time to accommodate business needs in all US time zones) with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.

Reports To: Senior Manager of National Program Administration

Travel: Yes, regional/national travel required to various project partner locations, conferences, and meetings, 5% to 20%

Position Summary: The AmeriCorps Program Support Coordinator is responsible for the support and facilitation of ACE’s AmeriCorps Education Award Program across program models and divisions, ensuring compliance with AmeriCorps state and federal regulations as well as ACE internal systems.

Essential Functions and Responsibilities:

  • Support Senior Manager of National Program Administration in monitoring division compliance for all ACE Education Award Program members in ACE systems, including eGrants invitations, enrollments, suspensions, reinstatements and exits.
  • Provide support as needed to division Program staff for member onboarding, term of service, and exit processes including AmeriCorps National Service Criminal History Checks and citizenship verification.
  • Provide administrative support for all ACE AmeriCorps grant program mid and end of year reporting needs.
  • Monitor AmeriCorps electronic form submissions and communicates supplemental documentation requests.
  • Audit member timesheets and hours tracking, onboarding, evaluation and exit paperwork for AmeriCorps compliance.
  • Assist with AmeriCorps slot tracking, monitoring and requests.
  • Assist divisions in setting up AmeriCorps system access for newly hired staff. 
  • Monitor and audit member files for AmeriCorps related documentation and compliance.
  • Collaborate with Program staff to troubleshoot member term of service issues in timesheet tracking systems, eGrants and ACE internal systems.
  • Track and monitor compliance paperwork for host site partners.
  • Serve as a point of contact for ACE timesheet system troubleshooting and member management.
  • Assists Program and AmeriCorps grant operating staff in collecting documents during audits or specific requests.
  • Attends all AmeriCorps scheduled meetings and trainings, leads AmeriCorps meetings and trainings as needed. 
  • Monitors staff AmeriCorps compliance renewals for AmeriCorps member management.
  • Supports the development of new and continuing resources and processes to ensure a high level of program compliance.
  • Participates in AmeriCorps conferences, site monitoring visits and trainings.
  • Foster a culture and environment that positions ACE for success and ensures that ACE is the program of choice for partners, members and staff.
  • Responsibilities and tasks outlined are not exhaustive and may change as determined by ACE.

Required Experience and Qualifications:

  • Bachelor’s degree or equivalent experience from previous roles.
  • Experience working with AmeriCorps grant compliance, or related grant-compliance.
  • Experience working with federal, state and non governmental partners preferred.
  • Proven ability to oversee projects, having achieved objectives.
  • Strong computer skills and high competence in using a variety of software programs including Office.
  • Ability to supervise, lead and mentor employees in person and remotely.
  • Effective team player and collaboration skills.
  • Strong written and verbal communication skills.
  • Strong organizational skills and ability to prioritize multiple projects and initiatives.
  • Self-motivated, and can work remotely and independently.
  • Commitment to ACE's mission of public service through youth development and volunteerism.
  • Ability to receive and provide constructive feedback.
  • Ability to prepare and maintain records and reports.
  • Ability to understand and carry out oral and written instructions.

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record.
  • Proficient in English.
  • Ability to pass a federal criminal background check.

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Occasionally required to stoop, kneel, climb stairs, and/or crouch (all physical demands are required with or without reasonable accommodations).
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
  • Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled.
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic. 
  • Travel: This position may require domestic travel up to 20%.

Compensation: Starting salary range (annualized): $42,000 - $50,000, based on relevant experience. Competitive pay with a benefits package that includes health, dental, vision and supplemental insurance, paid vacation, sick leave, designated holidays, and 403b retirement for qualified employees

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
