Title: Ancestral Lands Conservation Corps Director of Administration 

Starting Salary Range: The starting salary for this position will be in the $60,500 - $62,315 range, depending on experience, education, and skills relevant to the position.  Please note that the indicated starting salary range describes the range for an incumbent in this position.  Most new staff generally start at the beginning of the range to ensure internal salary equity. 

Location: Any ALCC office location (Acoma, Albuquerque, Gallup, Hopi, Zuni). Partial Remote Work Eligible. 

Status: Full-Time, Exempt

Program Summary:

Ancestral Lands Conservation Corps is a program of Conservation Legacy. Our vision is to lead our Nations back to ecological and cultural well-being by engaging underrepresented Indigenous youth and young adults in conservation service programs that reconnect participants to the land while preparing them for careers in cultural and ecological protection. We work to remove barriers to participation, education, and employment by partnering with Tribes, local community organizations, agencies, and institutes of higher learning to create paid service and career training opportunities, personal and professional development, and pathways to post-secondary education and employment. 

Position Summary:

The ALCC Director of Administration will support ALCC programming by overseeing administrative functions and supporting recruitment and member support functions of the program. The Director of Administration will work with ALCC Leadership to develop and implement processes to onboard all participants and seasonal staff, while tracking and maintaining compliance with AmeriCorps policies and procedures. This position will supervise ALCC staff to support the Administrative and AmeriCorps Grant Management processes. Preference in hiring is given to qualified Native American applicants. 

Outcomes & Functions of Position:

General Administration:

  • Lead the format, workflow, reports, and views creation and content of administration oversight in Salesforce.
  • Lead ALCC Administrative Team to ensure all onboarding paperwork and tasks are completed before participants start the program.
  • Develop and refine selection/hiring and exiting to ensure all participant files are accurate and compliant with federal, state, and AmeriCorps requirements.
  • Including onboarding, criminal history checks (CHC), driver insurability.
  • Lead staff trainings on processes and systems (onboarding, AmeriCorps payroll, criminal history checks, etc.).
  • Maintain regular communication with ALCC leadership and program staff; identify challenges and concerns; and help strategize solutions.
  • Lead use of and serve as primary user for multiple systems, including Fieldprint, Truescreen, Axiom, Salesforce, eGrants, and Rapid Cards.
  • Lead and manage manual check writing process, including assurance of completion of needed paperwork, issuing checks, tracking checks, and monthly reporting to Business Office.
  • Lead communications with Program and Central Support staff to support overall Administration needs. 

Supervision and Oversight:

  • Supervise, mentor, and train multiple Administration Specialists to work across all ALCC offices.
  • Provide conflict management support for ALCC personnel.
  • Facilitate regular in-person and virtual team meetings.
  • Conduct regular check-ins with supervised staff on a weekly or bi-weekly basis.

AmeriCorps Grant Management and Compliance:

  • Oversee collection and compilation of member demographic and performance measures for AmeriCorps, Conservation Legacy, and other reporting needs.
  • Work with Directors to estimate AmeriCorps slot needs, request slots and manage assignments in Salesforce. Work with Regional and Central staff to track slot usage and update as needed based on programmatic usage and needs.
  • Lead communications with New Mexico State AmeriCorps Commission and ensure ALCC meets all grant requirements, including deliverables, reporting deadlines, MSY usage, etc. 

Payroll and Human Resources:

  • Manages, reviews and oversees the accurate completion of payroll summaries and the general payroll process.
  • Manages, reviews and assists in entering seasonal staff, participants and AmeriCorps members into various administrative systems (Axiom, Sales Force, etc.).
  • Leads implementing changes and updates to the payroll process as indicated by central staff and is responsible for training administrative specialists on these changes and updates.
  • Responsible for the accuracy and timely bi-weekly payroll processing.
  • Setup users and enter data into payroll summary.
  • Troubleshoot payroll issues.
  • Ensure that all I-9 and E-Verify processes are completed on time for employees and members.
  • Lead development of administrative procedures and protocols to ensure ALCC is in compliance with state and federal laws.
  • Manage ALCC credit card usage: train staff and leaders on proper credit card procedures, including appropriate expenses, receipt management, and staying within budget.
  • Oversee the administration and training of leaders on organization’s Workers Compensation policy and procedures.
  • Point person for Criminal History Checks (CHC) and responsible for the accurate completion and implementation of changes and updates to this process.  

Member Development:

  • Lead the creation and management of career development opportunities including resume building workshops, financial literacy, career and college fairs, etc.
  • Develop and teach workshops for members on how to utilize AmeriCorps education awards, Direct and Public Lands Corps hiring authorities, etc.
  • Manage digital library of member and leader professional development resources. 

Organizational Advocacy:

  • Successfully engages, leads and supports a positive work environment for all within the organization and the communities we serve.  
  • Leads and/or participates in organizational-wide teams, projects and initiatives that support the work of the Strategic Plans goals.
  • Reports any potential complaints within the organization as identified in the Personnel Policy Manual.
  • Assists or leads other responsibilities, as assigned.

Qualifications: 

  • Minimum 5 years of experience in administration.
  • Minimum 5 years of experience training, onboarding, evaluating, supervising, and motivating staff.
  • Ability to successfully work in a fluid, changing work environment.
  • Ability to operate Microsoft Office programs and applications, or similar platforms.
  • Ability to keep self and others and accountable to expectations.
  • Valid Driver’s License and Insurable Driving Record per Personnel Policies.
  • Must be able to pass the organization’s criminal history check requirements. 

Preferred Qualifications: 

  • Bachelor’s or Higher Degree in Business, Accounting, or a related field or 5 or more years working as an Administrative Manager or Director
  • Previous experience working with Native American and/or Rural communities.
