WHAT WE CAN ACHIEVE TOGETHER

The Conservation Operations Coordinator provides essential program support to the Real Estate (Land Protection) and Stewardship teams to ensure that the Oregon Business Unit (ORBU) completes transactions and maintains its land asset interests with compliance and accuracy. The Conservation Operations Coordinator also manages the fleet vehicle program (~40 vehicles) for ORBU.  This position is based in Portland, Oregon and is hybrid; the Conservation Operations Coordinator will need to work from The Nature Conservancy office in SE Portland two or three days each week. This position may include 5% travel, paid overtime, and occasional evening and weekend work to support team events and/or handle emergencies.

  • Assists with real estate land transaction projects including maintaining systems to track deliverables and workflow, approvals needed, expenses, and deadlines; communicating with key team members; developing project approval packages; maintaining protection files in a systematic and organized fashion; drafting contracts for appraisals and/or surveys; and researching land ownership/tax lot information.
  • Manages Conservation Land related databases and Sharepoint library. Populates and maintains multiple databases; creates reports as needed; ensures compliance with TNC and other necessary standards.
  • Drives Conservation Easement monitoring and Fee Land Inspection process.
  • Prepares and processes annual property tax invoices and other county, state and federal licenses, registries, and other required submissions.
  • Screens and routes incoming land inquires to appropriate staff for review and/or responds as directed.
  • Supports Stewardship staff as needed with operational and administrative work such as facilities maintenance and leasing coordination, conservation data reporting and licensing.
  • Provides support to field offices on facilities management issues, such as leases, office furniture needs, and opening/closing offices.
  • Administers all aspects of the ORBU’s fleet vehicle management program to ensure a safe, reliable, cost effective and fuel-efficient fleet of vehicles. Includes procurement and disposal of vehicles, insurance and fuel cards management, facilitation of insurance reimbursement requests, registration of TNC-owned vehicles, reminders to drivers maintain vehicles and fix safety recalls, and staff fleet orientations. Responsible for maintenance of Portland fleet vehicles via coordination with volunteer fleet assistant.
  • Assists with other administrative functions of ORBU. Coordinates multiple tasks or projects in a timely manner and with attention to detail. Works under minimal supervision making independent decisions based on experience and judgment.
  • Financial responsibility may include working within a budget to complete projects, negotiating and contracting with vendors, assisting with budget development and fundraising targets.

WHAT YOU'LL BRING

  • Associates degree in related field and 2 years related experience, or equivalent combination of education and experience.
  • Experience managing, maintaining and populating databases and manual files.
  • Experience analyzing, building, populating and producing reports from databases.
  • Experience using Microsoft Word, Excel, Adobe Acrobat and web browsers.

DESIRED QUALIFICATIONS

  • BA/BS degree in related field and 2 years related experience, or equivalent combination of education and experience.
  • Experience with producing maps and/or other graphic products and reports and operating GIS software.
  • Experience collaborating and communicating with diverse and highly matrixed teams.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
  • Demonstrated strong project coordination, organizational and planning skills.
  • Experience learning applications and software programs.

SALARY INFORMATION

The starting pay range for a candidate selected for this position is generally within the range of $ 28.75- $30.54 hourly for annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
