Qualifications:
- Significant nonprofit (or professional services) bookkeeping experience, including: reimbursement-based billing of government grants, fee for service contracts and payroll using ADP
- Proficiency with QuickBooks Desktop Premier Professional Services and Microsoft Excel software
- Experience with financial reporting to Board of Directors
- Excellent organizational skills
- Positive approach to problem solving
- Ability to work as a team player
- Bachelor’s degree related to a financial field (preferred) or equivalent experience
Responsibilities:
A. Bookkeeping
- Maintain accurate and timely bookkeeping records with QuickBooks software
- Manage accounts receivable & accounts payable; maintain positive relationships with funders
- Generate monthly/quarterly billings as directed by ED and funder guidelines
- Process all bank deposits
- Process payroll, including submitting all payroll taxes and reports on time
- Manage tracking of donations
- Prepare project-based expense and revenue
- Reconcile bank accounts and credit card statements monthly reporting to Board
- Process requests for administrative reimbursements to ensure compliance with funder guidelines
- Generate financial reports for Executive Director, Staff, Board, and funders
- Work with Executive Director on budget development, tracking and cash flow
- Coordinate preparation of annual federal & state reports and renewals (e.g. IRS Forms 990 & 5500, WA corporate & charitable renewals, etc.)
- Coordinate tracking and reporting of all match, in-kind, and volunteer services for grants and contracts
- Track equipment purchases and maintain asset inventory
- Prepare and send annual 1099s/1096 and W2s/W3
B. Human Resources
- Maintain employee files, employment records, benefits plan records and all legally required documents
- Manage paid time off and holiday pay tracking system
- Manage financial records and renewals for health insurance and retirement plans
C. Office and File Management
- Manage Financial documents filing system on the Google Drive
