Grants Administrator Job Description

Part-Time (approx. 30 hours per week)

Position Overview:

Sustainable Chesapeake is a 501(c)3 non-profit that partners with diverse stakeholders throughout the Chesapeake Bay watershed to implement high-priority conservation practices on farmlands that support both thriving farms and water quality. We are seeking a self-motivated Grant Administrator to support our work to build organizational and collaborative operations and programs to restore the Chesapeake Bay watershed. The position will provide support for contract implementation, government grant administration, organizational budget management, and assistance to the Director of Finance and Operations and Sus Ches team on grant management, communications, coordination, and general administration. 

Duties and Responsibilities:

The Grants Administrator will support financial and grant administration, project/partnership coordination, financial and business reporting. Specifically, the Grants Administrator Assistant will:

  • Assist the DFO in ensuring that the organization adheres to fiscal and organizational policy and best business practices as outlined in organization policies
  • Coordinate grant and organizational financial administration (e.g. billing, invoicing, expense tracking and reporting; adherence to budget/budget tracking, on a monthly basis for several projects);
  • Provide administrative support to the Sus Ches team and in support of collaborative partnerships such as:
    • Helping to plan and coordinate programs and activities;
    • Scheduling meetings and assisting team in planning events;
    • Assisting in keeping website updated and scheduling and posting on social media as needed

Pay Range and Hours:

The salary is expected to be in the $20/hr to $30/hr range depending on experience and qualifications. We anticipate this individual will work approximately 30 hours per week and will report directly to the Director of Finance and Operations.

Qualifications:

The successful candidate will be detail-oriented with strong organizational and administrative skills.  Currently, Sustainable Chesapeake employees work remotely, but ability to travel to occasional in-person meetings and events throughout the Chesapeake Bay watershed is required.

Minimal requirements include:

  • An associates or undergraduate degree, ideally in the field of business management.
  • Experience in organizational business management, ideally non-profit business management, is preferred.
  • Valid driver’s license with a clean driving record
  • Applicants MUST live within the boundary of the Chesapeake Bay watershed
  • Availability to work during traditional business hours is preferred
  • Fluency in speaking, writing, and editing English spoken and written language
  • Able to attend scheduled meetings in Chesapeake Bay-area.
  • Knowledge of federal award budgeting, grant administration and reporting
  • Computer proficiencies: Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat (required) and able (or willing to learn to use) Quickbooks, Asana, Dropbox, Basecamp and other software tools to improve operations and efficiency.
  • Excellent time management and organizational skills
  • Knowledge of award systems preferred (NFWF EasyGrants, USDA EzFedGrants, USDA RCPP Portal, etc.)
  • Ability to work independently (work at-home) or as a team
  • Passion for our natural environment. Basic knowledge of agriculture and natural resources/environmental science is strongly preferred.
  • Ability to work outside of regular business hours if necessary to meet a deadline or for events.
