Job Overview

The Program and Camp coordinator job requires good organizational, teaching, and verbal communication skills. The coordinator will be required to work with both the students and classroom teachers, help with and maintain program equipment, and prepare program materials. 

The program coordinator runs the on-the-ground operations for programs and teaches Headwaters Science Institute’s school, after-school, and camp programs. This person is responsible for working with schools to plan programs with the teacher and figuring out the standards, the curriculum, and program execution with the schools. This person also hires and coordinates program mentors. This person is responsible for executing the planned program and meeting the designated science standards. In support of this effort, the program coordinator is responsible for bringing and maintaining the program equipment and ensuring the program staff/mentors know how to use it. The program coordinator is responsible for the execution and training of Student Driven Research to mentors for all programs. They are responsible for collecting all necessary materials, including photos, videos, data,  and surveys from programs to use for outreach and reports. 

As a staff member, they represent and promote Headwaters Science Institute to all potential and current stakeholders, including: schools/teachers, donors, program parents, and the public.

Essential Job Function: Program and Camp Coordinator 

  • Lead and teach at school programs, after-school programs, and camp programs 
  • Organize, purchase, and maintain the necessary program equipment
  • Serve as a contact person for mentors, teachers, and parents during programs 
  • Permitting and overnight accommodations for programs
  • Help improve and develop curriculum and program materials 
  • Mentor Hiring, Training, and Scheduling as detailed by each program plan
  • Participate in marketing media (e.g. videos, blog posts, etc.) and work on marketing and planning programs with teachers/schools
  • Coordinate on program grants (tracking, thank yous, paperwork)
  • Assist with fundraising and donor outreach as needed (outeach, mailings)
  • Community building and outreach: Fostering a sense of community, identifying and engaging potential supporters, especially among the program parents
  • Help plan and staff Headwaters outreach booths, events, and fundraisers
  • Other duties as assigned

The successful candidate will possess the following qualifications/experience:

  • Hard working 
  • Strong attention to detail and focus on accuracy
  • Energetic, can-do approach to work; good problem-solving skills at a practical level
  • A passion for science and education
  • Organized
  • Experience teaching science (formal or informal education is ok)
  • Background or experience with scientific research and fieldwork or a comparable combination of education and experience as an administrator and previous supervision experience
  • Bachelor's degree and at least 1-2 yrs experience
  • Good technology skills: basic data analysis, Google Drive, willingness to learn other programs
  • Strong Customer Service skills
  • Enthusiasm and drive for fundraising and marketing for a great cause is essential; experience is not essential
  • Engaging personal skills, both written and verbal to support donor management and customer care with schools and parents
  • Flexible and Adaptable with changing task prioritization

Other Desirable Skills:

  • Bi-lingual
  • Previous experience with marketing, fundraising, and working with non-profit organizations 
  • Comfort with statistics software
  • Certified Science Teacher, or Graduate Degree in Science
