Title: Office and Communications Manager and Bookkeeper 

Reports to: Director, Assistant Director, FoCNC Treasurer 

Interacts With: Members, Volunteers, Staff and FoCNC Board 

Category: Part-time (24 hours week to start)

Job Responsibilities include but not limited to: 

DonorView CRM Program – All over management of this program. Update all constituents as to their information. This includes volunteer component. Maintain current active volunteers to be used by other staff to recruit volunteers for events and workdays. All volunteers who work with children need current clearance. 

Membership – Ensure membership renewals are sent, update constituent records in DonorView CRM database. Print reports. Organizing membership drives and outreach. Ensuring all renewals are updated. Membership cards are sent out weekly. New members are personally welcomed and thanked. All members receive program guides and special events notices. Monthly correspondence with membership. 

Bookkeeping – All aspects of small non-profit bookkeeping. 

  • Entering transactions into the company’s financial system
  • Creating and updating spreadsheets and reports
  • Reconciling bank statements and double-checking financial records to ensure everything adds up.
  • Keeping track of all the finances and creating financial statements such as a Profit and
    Loss Statement, Balance Sheet, etc.
  • Keeping inventory records up to date
  • Managing accounts payable and receivable
  • Ensuring all invoices are sent out, and payments are collected.
  • Preparing payroll through payroll service
  • Preparing and filing taxes on time
  • Ensuring meticulous record-keeping practices aligned with IRS regulations. This position requires a person with good organizational skills, computer knowledge, communications skills and retail knowledge. Experience with management software programs. The use of MYOB, DonorView, POS or similar programs, Microsoft Office, Access and Publisher are a must or familiar with similar programs.

Qualifications

  • Experience with a POS system. Money management, CRM
  • Experience and knowledge with bookkeeping management.
  • Experience with non-profit organizations.
  • Detail-oriented and organizational skills are critical to this position.
  • Experience working in a small office environment and be expected to “pitch-in” when 
    necessary to support projects/programs.
  • Some supervisory experience or leadership skills a plus.
  • Working knowledge of Microsoft Office Suite, including Word, Excel, Access, and 
    PowerPoint.
  • Familiarity of Social Media platforms, including Facebook, Instagram and Twitter, and 
    others as required.
  • Able to work flexible hours. All staff are required to pitch in and help during large 
    events.

Note: Since this position is in an environmental education center, interest in and respect for the natural world is not required but is appreciated.

ABOUT CHURCHVILLE NATURE CENTER
A unique place for education, preservation, and conservation, Churchville Nature Center is a facility of the Bucks County Department of Parks and Recreation and is an area rich with diversity. The contrasting environments of meadow, marsh, woodland, pond, and lake are all within an easy walk.   
  
The center was founded in 1964 as the first nature center of Bucks County with the intention that it would become a place for people to learn about the natural world and be inspired to take an active role in its protection. Later in 1976, the facilities were expanded to include a modern visitor center, with an auditorium, exhibit area, gift shop, staff offices and a nature library. In 2014, the center was again expanded to include new classrooms, a large community room with a catering kitchen, offices and upgraded restroom facilities. 
  
The Friends of Churchville Nature Center (FoCNC) is a 501 (c)(3) non-profit organization, 
formed for the purpose of assisting the Churchville Nature Center in fulfilling its mission statement. Their purpose is to support the Churchville Nature Center. The Friends raise funds through an active membership program, various fundraising events and activities, and program revenue. The monies raised support the operations through the financing of special projects and the funding of staff positions. The center hosts around 100,000 visitors each year through the various programs offered year-round.
