POSITION TITLE: Office Coordinator
POSITION TYPE: Part-Time (Salaried, Non-Exempt), 20 hours per week (.5 FTE)
SALARY: The starting salary for this position is $23,895 - $25,554 and is non-negotiable and calculated within that range according to experience.
LOCATION: Hybrid position based in downtown Silver Spring, MD, with in-office work required 1-2 days per week (more during large mailings). The office is Metro-accessible (Red Line, Silver Spring station) with paid county garage parking. The Office Coordinator also manages our nearby storage unit in downtown Silver Spring and handles occasional local errands.
POSITION SUMMARY:
The Office Coordinator at American Hiking Society (AHS) plays a crucial role in ensuring smooth daily operations and providing comprehensive administrative support across multiple functions. This highly organized professional oversees the office as well as our storage unit, is the voice behind various e-mail and voicemail systems, recruits and supervises office and remote volunteers, opens, sorts, and scans mail, coordinates all office mailings, supports administrative HR items, assists the leadership team with administrative tasks, and cultivates a positive organizational culture by planning and coordinating employee engagement activities.
With responsibilities spanning office coordination and administrative support, this position ensures the behind-the-scenes infrastructure is in place to advance AHS’s mission of promoting and protecting hiking trails and the hiking experience.
This position reports directly (solid line) to the Head of Finance and Administration and maintains a dotted-line relationship with the Executive Director for project-specific direction and coordination.
RESPONSIBILITIES
- Coordinates day-to-day office operations, including facilities, procurement and inventory of supplies, administrative support, and oversight of the off-site storage unit in downtown Silver Spring.
- Coordinates incoming/outgoing mail, including regular donor communications and 5-7 large-scale mailings annually; opens, sorts, scans, and processes incoming mail.
- Oversees in-kind donation logistics, including receipt, inventory tracking, and documentation.
- Maintains and updates donor acknowledgment processes, including generating and mailing letters for various gift types.
- Maintains key organizational inboxes (e.g., info@, jobs@), routing inquiries appropriately.
- Supports database maintenance and cleanup; assisting with entry-level data reporting.
- Recruits, schedules, and supervises office-based volunteers to support operations.
- Coordinates internal staff engagement efforts (e.g., birthdays, anniversaries, virtual team gatherings, learning sessions).
- Coordinates the recruitment and onboarding process.
- Tracks staff leave and collects payroll-related documentation.
- Assists leadership with administrative support as needed which may include full staff meeting minutes and credit card reconciliation.
- Assists Communications and Development teams with fulfillment of fundraising incentives, giveaways, and photographing promotional items.
- Runs occasional local errands such as item pickups and to the post office.
- Performs other duties as assigned to support office operations and special projects.
SKILLS AND EXPERIENCE
- Commitment to follow AHS Values and AHS’s Commitment to the Hiking Community a must
- Experience in administrative support, business operations, or office coordination preferred
- Strong written, verbal, and interpersonal communication skills
- Highly organized with excellent attention to detail, follow-through, and task completion.
- Proficient in Microsoft Word; developing skills in Excel, and general computer use
- Ability to prioritize, work independently with minimal supervision, and contribute to a collaborative team environment
- Customer service mindset with a collegial, team-oriented attitude
- Ability to occasionally lift and move 25 lbs due to management of storage unit, office organization, and shipping needs
