Front Desk Office Manager Wildlife Rescue Center

Evelyn Alexander Wildlife Rescue Center is looking for a full-time office manager who will also be the first face/voice people interact with when dealing with the Rescue Center.

COMMMUNITY FACING

This individual will be responsible for interacting with community members calling the center when they encounter an injured animal, and /or when they bring an animal to the Center.  They must be compassionate, animal centric, willing to learn wildlife rehabilitation best practices and able to handle multiple projects at one time. 

In addition, the front desk is responsible for alerting volunteers to animal emergencies via the Center’s text alert system and tracking animal health updates if the rescuer wants follow up information.

This person will also be responsible for the well-being of our rescue volunteers, being certain they are trained, equipped to handle the situations and feel appreciated by the Center for their efforts

OFFICE MANAGEMENT

Office  duties include coordinating and compiling staff time sheets on bi-weekly basis, ordering supplies for the center, coordinating, and tracking donors contact information, donations, thank you and tax information, branded merchandise inventory, and keeping the reception area neat and tidy.

Assistance in compiling reports for NY State Permits and education reports with the appropriate staff.

A basic proficiency in non-profit donor software and Quick Books and/or technical prowess and willingness to learn.  The Office Manager will work with the Executive Director and part-time bookkeeper to manage payroll.

REQUIREMENTS

  • Extremely organized and proficient in time management techniques.
  • Excellent phone demeanor and ability to interact with people who maybe short tempered or stressed by dealing with an injured animal.  
  • Ability to deal with severe injury to animals in person.
  • Ability to hold and carry animal crates up to 25 lbs.
  • Windows PC proficiency is mandatory; Previous QuickBooks and Data Base software experience is also preferred and will be used in the position.
  • The position is a full time 40-hour work week.  Days and hours can be adjusted but all work in in-office for this position.
