ORGANIZATION SUMMARY:

A 501c3 nonprofit organization, the Glen Helen Association works to steward and strengthen Glen Helen nature preserve for present and future generations, safeguard the ecological, historical, and geological resources within its bounds, and utilize the preserve to offer life-shaping environmental learning to our students and visitors. The 1,125-acre preserve is home to the first overnight environmental learning facility in the Midwest, Ohio’s original facility for education and rehabilitation of birds of prey, and a 15-mile trail system open to the public.

The Outdoor Education Center (OEC) welcomes all and fosters respect for the environment, provides science-based experiential learning, and supports character development through immersion in nature. The OEC runs three distinct programs: a Naturalist Teacher Internship, Outdoor School (an overnight, environmental science program during the school year), and Eco-Camp (a summer camp program). 

POSITION SUMMARY:

The OEC Assistant Director is an integral member of the OEC administrative team, who collaborates to  fulfill our mission. We share the values of being inclusive, growing new skills, learning together, and communicating well in order to work together effectively. Specific areas of responsibility for the OEC Assistant Director include providing day-to-day administrative/operational oversight and support to the OEC team, supervision of the Food Service team, and processing financial and registration documents. 

They must be able to work well with a broad range of people, from school administrators, to youth, to members of the public. The Assistant Director schedule generally holds to a typical work week schedule: 8-hour days, 5 days a week. This position has the potential for irregular remote work pending program flow. Some evening and weekend work will be required, with weekday time off in its place. The ability to work outdoors in all seasons is necessary.  

KEY RESPONSIBILITIES:

  • Support Director with
    • providing day to day OEC program oversight and problem solving
    • participating in admin functions, including preparing reports and attending meetings
    • managing annual/monthly budget planning and tasks
  • Supervise and support the Food Service Team
  • Day-to-day financial administration for the Outdoor Education Center (i.e. processing bills, submitting invoices, and tracking revenue)
  • Facilitate seasonal staff hiring and onboarding 2 times a year with Education Manager 
  • Support Outreach and Partnerships Manager with seasonal staff and intern recruitment 
  • Routinely correspond with schools, parents, and vendors

Program Specific Responsibilities:

  • Outdoor School:
    • Manage school partner paperwork with Education Manager/Lead Naturalist
    • Invoice schools 
    • Provide occasional Admin On shifts and/or Teacher Feedback meeting, dorm/student orientation, or other Outdoor School duties. 
  •  Eco-Camp
    • Update and maintain registration software
    • Process summer/seasonal camper registrations, paperwork, and payments
    • Act as the primary point of contact for all camper families before and after their Eco-Camp experience with Marketing and Partnerships Manager
    • Provide a high level of customer service and accommodation for camper families with Marketing and Partnerships Manager
    • Assist with arrival and departure day check-in and check-out of Ecocampers 
    • Provide occasional Admin On shifts and/or other Eco-Camp duties.

OTHER RESPONSIBILITIES:

  • Develop professional network by participating in relevant trade and community organizations
  • Articulate and pursue annual learning objectives
  • Additional responsibilities as agreed upon

QUALIFICATIONS:

  • Bachelor's degree or equivalent experience in related field
  • Minimum of 2 years supervisory experience preferred
  • Effective verbal and written communication skills and ability to communicate clearly and diplomatically with a wide range of audiences
  • Demonstrate organizational skills and attention to detail
  • Demonstrate a respect and affinity for children 
  • Passion for Glen Helen’s mission and our conservation education work 
  • Experience in staff supervision preferred 
  • Ability to troubleshoot challenges with patience and creativity 
  • Ability to prioritize tasks and manage time well
  • Adequate software and computer literacy skills including Microsoft Suite applications, Google Apps, CampBrain, Quickbooks, and Square

CERTIFICATES, LICENSES, REGISTRATIONS  

  • Valid driver’s license
  • BCI/FBI background check required
  • ServSafe Food Manager w/in the first year (to be provided) 

PHYSICAL REQUIREMENTS:

  • Ability to communicate verbally and digitally with staff and public
  • Ability to work in an office environment
  • Ability to move up and down stairs
  • Ability to move 10-20 pounds
  • Ability to stand for extended periods
