Job Title: Philanthropy Systems & Operations Manager

Reports to: Annual Fund Director

Status: Full-Time Exempt, Permanent 

Salary: $70,000 - $80,000 Annually 

Location: Remote

Position Summary

Reporting to the Annual Fund Director and advising the Philanthropy Leadership Team, the Manager, Advancement Systems & Operations will create and ensure adherence to all processes and procedures utilizing the highest level of data standards to support philanthropic revenue tracking and performance. Overseeing all aspects of philanthropic data, including day-to-day activities, systems administration, performance management, vendor communications, and audit support – the Manager, Advancement Systems & Operations will serve as the SCA expert on philanthropic data and operations, business analytics, implementing best practices in data integrity, management, and hygiene. The Manager, Advancement Systems & Operations will be responsible for the development and management of two direct reports.

Roles and Responsibilities

Strategy

  • Be a thought partner to the Philanthropy Leadership Team, advising on annual revenue targets and multi-year forecasts, to include monthly and quarterly tracking of KPIs.
  • Using data visualization, recommend opportunities for increased revenue performance, providing benchmarks and insights to SCA leadership and colleagues.
  • Identify process improvement to help gain efficiency and increase effectiveness.
  • Build and regularly report on KPIs such as renewal rates, giving levels, sustainer growth, legacy giving, campaign performance, and other comparative analysis where appropriate.
  • Create and manage dashboards and integration across systems to include general in-house operations, policies, and procedures, list productions, financial and constituency reporting, and campaign reporting.

Systems and Vendor Management

  • Manage all aspects of SCA’s philanthropy CRM, Blackbaud’s Raiser’s Edge NXT (RENXT), and other technologies (including Omatic, Salesforce Marketing Cloud, Fundraise Up, Live Alumni, etc.) to support and enhance SCA’s philanthropic and financial goals.
  • Lead day-to-day administration and support of database activities, ensuring the accuracy of information input into the database, as well as the timely and accurate creation and modification of database reports.
  • Collaborate with the Finance Department, managing the flow of data between RENXT and Salesforce – serving as the cross departmental point of contact for all Philanthropic data and reporting.
  • Oversee the day-to-day relationship with our external caging and gift processing vendor, including monitoring data quality, reviewing and committing gift batches, and resolving non-financial documents.
  • Administrate vendor relationship with philanthropic software providers and consultants
  • Manage Philanthropy Systems Operations budget, invoices, and SCA procurement standards for software contracts.
  • Maintain all gift records, data management, reporting, and analytics functions.
  • On behalf of the Philanthropy Department, run point on SCA’s annual audit, e.g. Gift in Kind reporting, Gift Acceptance Policy, etc.

Data Hygiene

  • Maintain confidential, computerized records of financial and in-kind donors, giving histories, and other personal information.
  • Ensure a high level of accuracy and integrity for constituent data, gift entry and fundraising reports, data requests, mailing lists, financial reporting, prospect segmentation, etc.
  • Conduct system tuning, performance monitoring, and database maintenance.
  • Monitors and improves accuracy and integrity of data by establishing and executing a data audit and append schedule.
  • Identifies areas within fundraising infrastructure where data cleaning and normalization are needed.

Qualifications

  • Highly detailed with a deep knowledge of philanthropic fundraising and reporting.
  • Strong and proficient knowledge of IRS gift rules and regulations and accounting principles.
  • Experience with Omatic software preferred.
  • Able to handle confidential information with discretion, display courteousness and sensitivity, managing difficult or emotional situations with tact.
  • Must evaluate challenges, show resourcefulness in identifying solutions, and display sound judgment, contributing to an inclusive working and learning environment.
  • Problem solver who identifies challenges early on, preparing alternative solutions.
  • Experience managing large, cross-functional projects and teams.
  • Experience implementing results of electronic donor screening and segmenting initiatives.
  • A track record of working with Raiser’s Edge, Salesforce and other CRMs considered a plus.

Education and Experience

  • Bachelor’s degree preferred.
  • 8+ years of progressive experience in the following areas: donor relations, gift acceptance oversight, donor database management, and data analytics.
  • 5+ years of experience working in Raiser’s Edge NXT and database view required.
  • Supervisory experience managing direct reports and performance management preferred.

Internet and Communication Requirements

Job requires stable and reliable internet. SCA will provide laptop and basic office supplies; the employee will be responsible for obtaining internet access.

Travel Requirements

Minimal travel required - 5% or less of time.

While performing the duties of this job, the employee is regularly required to talk or hear. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus.
