The Alaska Association of Conservation Districts provides support services and advocates for Alaska’s Soil and Water Conservation Districts. We are seeking a Programs and Operations Coordinator to directly assist with employee and project management, as well as grow the capacity of AACD to better meet the needs of Alaska’s SWCDs. Part-time, minimum of 20 hrs/wk, with potential for growth to full time position by a candidate motivated to seek funding and develop capacity; this position is expected to spend at least half of their hours in the AACD office in Wasilla and respond to official AACD business via telephone, mail and email. Duties of this position fall into two broad categories:
Direct district support:
- Direct and manage the work, deliverables and reporting for cooperative agreements and grants AACD has with federal, state and other partners for programs/projects done in collaboration with the districts
- Work with AACD treasurer and financial officer to prepare and present monthly financial summaries for review at regular and special AACD Board meetings
- On and off boarding of AACD employees, oversee personnel policies and updates to the Employee Manual, calculation and invoicing for employee earned PTO
- Manage district-assigned property with depreciation, disposition and disposal records
- Sustain productive communications and agreements with state and federal partners including, but not limited to, the Alaska Departments of Environmental Conservation (DEC) and Natural Resources (DNR), the AK Division of Agriculture, and the National Association of Conservation Districts (NACD)
- Negotiate liability insurance coverage as needed for the districts and AACD, invoice districts in a timely manner for insurance costs
- Conduct quarterly random informal audits of a rotating sampling of district accounts to assist them with maintaining accurate financial records
- Assist districts with meeting their statutory requirements, including annual Board of Supervisors elections, cooperators lists, and other responsibilities to the State of Alaska
- Help districts identify funding opportunities that meet their priorities, assist with applications and establishing work objectives and performance standards, including tracking and reporting methods
Capacity building for AACD
- Oversee project budgets, manage and administer grants to build capacity at AACD
- Seek out and develop statewide/ multi-district programs with federal, state, local and tribal partners
- Assist the AACD Board with preparation and adoption of its annual budget
- Oversee general funds including, but not limited to, processing requests for reimbursements, reconcile AACD bank accounts, verify allowables, resolve errata and forward for payment to financial officer
- Increase awareness of AACD and district activities by creating and maintaining a social media presence with links to district sites and resources
- Identify professional training and education opportunities for AACD and district staff and assist with their participation as appropriate
- Maintain current AACD contact information with all annual memberships, federal and state registrations, as well as current and potential partners
- Assist with AACD advocacy efforts on the funding needs of Alaska’s SWCDs to deliver programs in their communities
Qualifications:
- Able to work independently and manage multiple priorities with little regular supervision
- At least 6 years of relevant education and work experience, minimum of 2 years of experience in a business or nonprofit setting
- Demonstrated ability in successful project and/or program management
- Proven ability to collaborate with volunteers and a variety of groups
- Strong computer skills, including MicroSoft Office and social media platforms
- Basic understanding and experience managing financial accounts and associated software (ex: QuickBooks)
