Position Overview
The McDowell Sonoran Conservancy is a non-profit organization that leads the conservation and protection of the Scottsdale McDowell Sonoran Preserve, a 31,000 acre Sonoran Desert preserve in Scottsdale, Ariziona. The Senior Administrative Coordinator plays a central role in the smooth functioning of our small, dynamic office. Ideal for someone who thrives in a bustling environment where each day brings new challenges, this position is a blend of administrative coordination, operational support, and team engagement. The successful candidate will be the go-to person for ensuring our office runs efficiently, supporting both staff and leadership, and keeping the workplace organized and energized.
Key Responsibilities
- Manage daily office operations, including supplies, equipment, and vendor relationships
- Serve as a first point of contact for visitors, calls, and correspondence
- Coordinate scheduling, meetings, and logistics for staff and leadership
- Support HR processes such as onboarding, and benefits coordination
- Assist with budgeting, invoice processing, and expense reports
- Lead special projects and workplace initiatives, from team events to process improvements
- Champion office organization and ensure a welcoming, well-kept workspace
- Facilitate communication across departments and help solve day-to-day challenges
- Contribute creative ideas for enhancing office culture and staff engagement
- Support logistics arrangements for external and internal events
Qualifications
- Previous experience in office administration, coordination, or management
- Excellent organizational and multitasking skills
- Strong written and verbal communication abilities
- Comfort working independently and as part of a small, collaborative team
- Attention to detail and problem-solving mindset
- Proficiency with office software and technology
- Enthusiasm for varied tasks and a fast-paced workplace
- A passion for the environment and the Conservancy mission and values

Working Conditions
This role is office based, Monday – Friday, 9 a.m. – 5 p.m.
