Purpose of Position

The Volunteer Coordinator manages all volunteer administration efforts of Carmel Clay Parks & Recreation (CCPR), including the development, recruitment and implementation of the department-wide comprehensive volunteer program. This position will focus roughly 80% of efforts on planning, implementing and evaluating volunteer projects that align with park stewardship priorities and the Adopt-A-Park program. Other administrative responsibilities include support for recreation programming, before and after school programs, summer camps, and adaptive programs. 

Essential Job Functions

The following duties are normal for this position. These are not construed as exclusive or all-inclusive. Other duties may be required and assigned.

Park Stewardship

  • Creates quality volunteer stewardship experiences that enhance habitat and promote biodiversity by connecting the community to the natural resources.
  • Administers the “Adopt-A-Park” program for parks and greenways by identifying participants and matching them with existing priorities.
  • Develops and implements annual signature stewardship projects in alignment with national, regional and local volunteer outreach (i.e. National Trails Day, Playground Safety Week, Earth Day).
  • Collects quantifiable project accomplishments and documents project summaries to contribute record keeping for the Park Maintenance Division.
  • Implements proper species identification, environmental education, and other training relevant to a successful and enjoyable volunteer experience.
  • Recruits, trains and supervises seasonal intern in conjunction with Natural Resources Coordinator.

Departmental Program Support

  • Works jointly with the Marketing Director to create and/or update volunteer materials to ensure they meet with the Department and subdivision’s brand, voice and message.
  • Collaborates with Recreation team to administer volunteer needs for recreational programs such as adaptive programming, art classes or sports.
  • Collaborates with before and after school Site Supervisors and Summer Camp staff to administer volunteer needs specific to program.
  • Creates, reviews and edits volunteer materials (policies and procedures, outreach material, applications, agreements, handbooks, etc.).
  • Recruits, interviews, screens, trains, processes and evaluates volunteer applicants and volunteer groups.
  • Consults with staff regarding how to work appropriately and in conjunction with volunteers and the volunteer database.
  • Positively promotes the image of Carmel Clay Parks & Recreation.
  • Communicates regularly with volunteers to assure standards are maintained and quality is controlled.

Administrative and General Duties

  • Prepares monthly reports with statistics, maps and summaries for the comprehensive Division report.
  • Serves as administrator for volunteer database, tracks activity, completes background checks and updates volunteer records.
  • Plans, organizes and implements annual volunteer appreciation/recognition event including administration for Presidential Service Awards.
  • Contributes to strategic planning and overall direction of the Department; provide insights and recommend new ideas for improvement/change.
  • Supports Parks Maintenance Division with internal maintenance objectives such as vegetation management, equipment maintenance and general oversight.
  • Assists with financial management and budgeting.
  • Collaborates with Marketing Director as needed to develop relationships with local businesses for partnerships, sponsorships and in-kind donations.
  • Works collaboratively with Human Resources and other areas and contributes to CAPRA standards.

  • Ability to communicate in a friendly and informative manner with general population.
  • Ability to compile, review, classify, prioritize, analyze and present data.
  • Ability to exercise discretion in analyzing and selecting from alternative options.
  • Ability to organize and direct work of self and others, and to apply principles of persuasion and influence over others in a professional capacity.
  • Ability to operate a motor vehicle to conduct work activities.
  • Ability to operate a motor vehicle while pulling and backing trailers.
  • Ability to train untrained volunteers on specific task operations: simple or technical.
  • Ability to communicate effectively 1-on-1, with a group, and in public meetings; includes ability to speak and write clearly; includes ability to interact with members of the public to resolve problems.
  • Ability to operate technology tools and software applications including a personal computer, smart phone, GPS and smart tablet.
  • Ability to operate or willingness to learn a variety of land management equipment and tools including a blower, string trimmer, hedge trimmer, pruning shears, chain saw, shovel, rake, post hole digger, gas powered auger, extension ladder, chemical sprayer, snow plow, snow blowers, salt spreaders, painting and staining tools.
  • Ability to exert heavy physical effort to perform certain park stewardship tasks, involving a combination of climbing, balancing, kneeling, crouching, lifting, carrying, pushing and/or pulling of objects and materials weighing 20-90 pounds.
  • Ability to work extended periods of time at a keyboard or workstation.
  • Ability to receive positive or constructive feedback and incorporate into work routine.
  • Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, toxic agents, disease or pathogenic substances.

Minimum Qualifications

  • Bachelor’s Degree in parks, natural resources, or related field.
  • Must have valid Indiana Driver’s License.
  • One to three (1-3) years’ experience in leadership role.
  • Or any equivalent combination of education, training, and experience that provides the requisite knowledge, skills, and abilities for this position.
  • Experience training and managing groups of people to address community needs.
  • Strong language and communication skills (written and verbal).
  • Work independently, be organized, and possess strong time management skills.
