Broad Function
The Weekend Workshop and Volunteer Manager reports to the Chief Operating Officer. This person serves as PEEC’s primary on-site lead from Friday through Sunday, responsible for planning and overseeing engaging weekend programs and events as well as ensuring a smooth and positive experience for all campus visitors during that time. Responsibilities include overseeing weekend logistics, responding to facility needs, coordinating scheduled program instructors and hospitality staff, and serving as the central point of contact for all weekend activity — from public workshops and festivals to overnight group stays and general public visitor interactions. Additionally, this position coordinates PEEC’s volunteer program and works across departments to integrate volunteer skills into organizational needs.
Position Responsibilities
Program Leadership & Event Coordination
- Serve as on-site host and main point of contact for all weekend groups and public programming.
- Design, schedule, market, and implement a calendar of weekend workshops, public programs, and special events in collaboration with the PEEC Leadership Team. Contract with external presenters as required.
- Plan and oversee PEEC’s two annual public festivals, including vendor recruitment, partner coordination, and event logistics and agenda including coordinating scheduled staff.
- Support the delivery of grant-funded programming, including planning, tracking participation, and reporting metrics as needed.
Volunteer Management
- Enhance PEEC’s existing Volunteer Program to ensure volunteers have meaningful, well-supported experiences that contribute to PEEC’s mission, serve organizational needs, and foster long-term engagement.
- Recruit, train, schedule, and manage volunteers for programs, events, and ongoing site projects.
- Maintain an active list of volunteer opportunities that align with PEEC’s operational and programmatic needs.
Administrative & Operational Support
- Respond to facility or maintenance needs on weekends within capacity as the primary on-call staff member and promptly elevate issues as needed to the appropriate departmental personnel.
- Perform front office customer service duties during weekend hours (speaking with visitors, answering the phone, responding to PEEC emails, helping customers in the bookstore).
- Handle registrations, participant communication, and payment processing for weekend programs.
- Maintain records for programs, attendance, budgets, and volunteer contributions.
- Attend Staff meetings, Operations meetings, and Marketing Team meetings.
- Maintain and order program supplies and coordinate with presenters and vendors as needed.
- Teach environmental education classes and programs on an as-needed basis.
Performance Measurements
- Weekend programs and events are smoothly executed with positive participant feedback.
- Guests receive timely, professional support; on-call duties are handled effectively.
- Annual calendars, attendance records, and grant-related reports are accurate and submitted on schedule.
- Program budgets, supplies, and logistics are well-managed and align with organizational goals.
- PEEC festivals and special events are effectively delivered and meet participation and engagement goals.
- Volunteers are actively recruited, well-utilized, and tracked in support of ongoing organizational needs.
Qualifications
- Strong leadership and problem-solving skills, with the ability to make decisions independently and manage unexpected challenges during weekends.
- Experience in event coordination or public programming, particularly in informal education, community engagement, or recreation settings.
- Demonstrated ability to manage multiple priorities, timelines, and stakeholder needs simultaneously.
- Excellent organizational and time-management skills, with attention to detail in planning, logistics, and follow-up.
- Comfort and professionalism in working with diverse audiences, including families, school groups, and community partners.
- Experience supervising or mentoring staff, interns, or volunteers in a nonprofit or educational setting.
Desired Experience
The ideal candidate may come from a background in either formal or non-formal education, or a hospitality role with an event coordinator skill set. Critical to success will be a passion for PEEC’s mission and a capacity to complete projects both independently and with co-workers, to prioritize hands-on education experiences. The ability to prioritize tasks while maintaining a consistent work ethic is essential to be successful in this role.
