Who An Administrative Coordinator Is:

The Administrative Coordinator provides critical support to the mission and daily operations of The Benzie Conservation District. Working with the Executive Director, the Administrative Coordinator leads internal processes, including payroll, benefits coordination, office management, and staff support. The ideal candidate is an organized, proactive professional who is dedicated to supporting the organization’s staff and programs.

Position Identification and Compensation:

  • This is a permanent, Full-time (30 hours per week); Hourly, Non-exempt at $20-$21/hour, based on experience
  • Comprehensive benefits package, including a health insurance stipend, employer retirement contribution, 12 paid holidays, 2 weeks paid vacation, and paid sick leave
  • Occasional personal vehicle use may be required and will be reimbursed at the State of Michigan Mileage rate

 What You’ll Do:

Administrative (70%)

  • Tracks, orders, and stocks all office needs and supplies
  • Records meeting minutes for all board meetings
  • Assists staff with grant applications and reports as needed
  • Coordinate bi-weekly payroll in collaboration with the Executive Director, ensuring accuracy and confidentiality
  • Serve as a liaison for employee health insurance and benefits administration, including new hire enrollment, changes, and annual renewals
  • Support HR processes such as onboarding, offboarding, and personnel file management
  • Coordinates walk-in, phone-in, and email-in public inquiries, referring as needed; promotes Benzie Conservation District’s mission in conversation

Sales Management (15%)

  • Manages vendor relations: is responsible for researching costs/vendors for regular products and specialty items
  • Handles sales, storefront operations and inventory, order processing, and fee-for-service tracking
  • Leads biannual Native Seedling Sale: sources plants, sets pricing, manages orders, tracks inventory, coordinates volunteers, and oversees packing/pickup logistics
  • Manages post-sale communication and restocking

Fundraising (10%)

  • Assists with inputting constituent records in Little Green Light CRM
  • Occasionally assists with mailing list review for appeals and updates
  • Helps coordinate donor acknowledgements and other mailings

Other (5%)

  • Assists with planning and coordinating events and workshops, and provides on-site support, including the annual public meeting, as needed
  • Occasionally attends local/regional meetings on behalf of the District
  • Prepares and submits monthly activity reports
  • Other duties as assigned

What You’ll Bring:

Preferred Experience

  • Two years of relevant work experience or equivalent education demonstrating proficiency in the following skills: office management, sales and inventory management, and bookkeeping
  • Proficiency in software and platforms including: Microsoft Office Suite, Google for Business, POS systems (Square and PayPal), QuickBooks, Weebly, CRM (Little Green Light)
  • General understanding of natural resources, agriculture, watershed stewardship, and ecology principles; general botanical knowledge a plus

Abilities

  • Detail-oriented and strong organizational skills; flexibility
  • Effectively prioritize and manage overlapping tasks while maintaining accuracy and consistency
  • Excellent oral, telephonic and written communication skills
  • Excellent social and interpersonal skills, including internal communications

Education

  • Coursework or degree in business management, communications, environmental science, marketing, humanities, or a related field preferred
