The Administrative Manager is responsible for managing the Northeast Wisconsin Land Trust office. The Administrative Manager must be a capable organizer, with attention to detail and proven office management skills. Must be familiar with natural resource, ecological and related concepts. Superior organizational and written communication skills are necessary.

This role is essential to the longevity of the conservation work we do. Through this role we meet the people who conserve their land and we acknowledge those who make our work possible. By supplying staff and volunteers with the tools and materials they need to care for nature preserves, this role provides members of our community opportunities to take part in nature-based activities. NEWLT’s Administrative Manager is charged with satisfying legal and financial recordkeeping requirements and they maintain compliance with accreditation standards so that our land projects will stand the test of time.

Northeast Wisconsin Land Trust’s mission is to preserve lands that protect our waters, landscapes, and natural habitats for this and future generations. We serve a twelve-county area of Northeast Wisconsin, working with private landowners and public entities to protect natural areas and to educate the public on the importance of land conservation.  Since its founding in 1996, NEWLT has protected more than 7,000 acres of land, critical to sustaining the natural resources and environmental integrity that people rely on for enjoyment, recreation, and a productive economy.

Duties of the Administrative Manager include:

ADMINISTRATIVE

  • Ensure the office runs smoothly. Maintain a clean, welcoming environment
  • Respond to information requests and educate about the mission and programs of NEWLT
  • Manage all record keeping: financial, meetings, grants and donor records
  • Prepare accreditation renewal materials and application
  • Prepare materials for annual tax filings
  • Prepare and file forms. Create lists/reports. File credential applications/licensing, subscriptions, surveys, and insurance forms
  • Coordinate materials, logistics, and communications for gatherings and meetings
  • Maintain inventory of office supplies and materials for general operations, land trust meetings, events and workdays
  • Run errands and provide administrative support to other staff

LAND PRESERVATION

  • Respond to conservation inquiries
  • Coordinate volunteers and site visits
  • Draft and submit conservation reports and portions of grant proposals
  • Gather and organize research, legal documents, maps, grants information and photos for land projects
  • Maintain accurate records for land protection projects

COMMUNICATIONS AND OUTREACH

  • Help prepare communications and outreach materials including newsletters, invitations, e-newsletters, and others. Including simple graphic design in Adobe InDesign.
  • Organize and manage printings and mailings
  • Overview and assist with the website and on-line media accounts
  • Draft, coordinate and submit press releases
  • Event, exhibit, and presentation support: plan, gather, transport, participate (Requires some weekends.)
  • Coordinate distribution of newsletter and other materials

MEMBERSHIP

  • Assist in preparing membership mailings
  • Manage donations across the organization; ensure that all gifts are recorded and each contributor receives a timely gift acknowledgment
  • Supervise and maintain the integrity of data in the database files; keep database current

The Administrative Manager is responsible for other tasks as directed by the Executive Director.

Qualifications:

Preference given to candidates with strong organizational skills and a background that prepares them for work in the conservation community.

Must be highly adept at learning to use multiple types of software including Microsoft 365 suite, Adobe Pro, Adobe InDesign, QuickBooks, GIS mapping programs, SurveyMonkey, Donor Perfect, Constant Contact, social media platforms, file share, calendars, and meeting services.

Personal Qualifications:

A successful candidate will be attentive to detail and be professional in handling multiple tasks and competing priorities. A person who takes pride in an efficiently run work environment, has initiative, and works well with little supervision will excel in this role.
