Peconic Land Trust is a non-profit organization with the mission of conserving Long Island’s working farms, natural lands, and heritage for our communities now and in the future. Our Fundraising Department is looking for an Annual Giving Coordinator to assist with communications, strategy, and project management including grant applications and reporting. We are looking for a positive individual who wants to make a difference on Long Island.

Job Responsibilities include:

Annual Giving Program

  • Assist with the plans, development, and implementation of the Trust’s annual giving campaigns, including four annual appeals, Suffolk Profiles (new homeowners) various venture projects, Earth Day (month), Giving Day (month), End of Year emails, Bridge Gardens, and Quail Hill Farm
  • Participate in strategy development, timelines, and database segmentation for the annual giving appeals including all direct mail, email, and event invitations
  • Writes copy for direct mail, email, support portfolios, website, online forms, social media related to the giving campaigns
  • Updates collateral material such as response forms with an eye towards making them donor-centric and easy to use
  • Oversees all copy writing for department to ensure consistent and effective messaging, including review of the e-newsletter and hard copy newsletters
  • Works with marketing to coordinate social media outreach around the annual fund mailings, and other key direct mail or email solicitations
  • Analyzes and evaluates the outcomes of programs and related costs and, consistent with the most current market research, adjusts the plan accordingly to increase donor acquisition, upgrade, reactivation, and retention
  • Stays current on the best practices in direct mail copy
  • Interfaces with marketing team on collateral material design

Mail House Coordinator

  • Coordinates with mailing house on mailing schedule and printing/mailing of materials on all annual appeals, except for acknowledgement letters
  • Partners with the Manager of Donor Information to produce segmented mailing lists and code constituent records
  • Reviews, codes, and signs off on invoices from mailing house to maintain consistent and accurate accounting records
  • Works with the mail house to send out solicitations to new homeowners (aka Suffolk Profiles)
  • Keeps up to date on Postal Service regulations and makes sure that the Trust is compliant

Grant Relations

  • Project manages all aspects of applying for a grant and reporting back if awarded, coordinating with other departments to pull in the information needed to apply
  • Maintains grant information in the database and for review by our Fundraising Strategy Team
  • Keeps Grants Gateway current for all Federal and State grants
    General Administration responsibilities
  • General assistance to the overall operation of the office as needed
  • Perform other work-related duties as may be deemed appropriate by the President
  • Report any problems, concerns, or grievances to your supervisor or the Director of People and culture
  • Track all billable and non-billable time in Harvest
  • Attend required events

Organization Development responsibilities

  • Every staff member has a personal responsibility through their daily work to cultivate professional relationships with the broader community, enhance the donor experience, and document appropriate information in Trust files and databases-all to maximize opportunities and financial resources to further the trust’s mission
  • Proactively work toward the continuous improvement of workplace efficiency and effectiveness, including identification of areas in need of improvement, and participation in corrective efforts
  • Design and maintain a personal system for providing and receiving the feedback necessary to effectively perform job functions, and for helping others effectively meet their job responsibilities
  • Work effectively with others, always retaining a focus on Trust’s goals, objectives, and mission, recognizing that the Trust’s success is measured by the ability of its staff to work together
  • Develop and implement a plan for personal development and improvement
  • Maintain high standards of safety through all operations to ensure that no employee is required to work under conditions that are hazardous, unsanitary, or unsafe in any way.

Qualified candidates should possess:

  • 3 to 5 years' experience successfully coordinating a non-profit direct mail program
  • Bachelor’s Degree in Communication or Business from an accredited school a plus
  • Ability to write quickly and in a range of styles that appeal to different audiences
  • Experience analyzing and communicating data to develop strategies for timelines and audience segmentations
  • Strong organizational and interpersonal skills
  • Must be meticulous and produce accurate work
  • Strong computer skills required, including but not limited to Microsoft Suite and CRMs
  • Excellent written, listening, and oral communication skills
  • Must have the ability to manage multiple tasks and responsibilities effectively in a demanding environment
  • Must be responsible and possess the ability to exercise good judgment and follow-through on tasks independently
  • Ability to work independently and as a collaborator with a positive, upbeat attitude.
