Position Overview
The Records Data Support Coordinator plays a critical role in the day-to-day operations of the Big Game Records Department. This position is responsible for the accurate input, processing, and management of trophy entries, ensuring data integrity across the Club’s historic and ongoing records database. The ideal candidate is detail-oriented, organized, and passionate about wildlife conservation and the hunting heritage the Boone and Crockett Club represents.
Responsibilities
Responsibilities include, but are not limited to:
- Process trophy entries from intake through final data entry, including digitizing entry materials, fee processing, preliminary data input, and entry follow-up.
- Respond to trophy-related inquiries via phone, email, and written correspondence in a timely and professional manner.
- Assist with physical mailing and fulfillment of records department materials.
- Support the execution of the Club’s triennial Awards Program, including logistical preparation and on-site assistance.
- Proof and edit records-related content for publications, correspondence, and database entries.
- Oversee DNA testing shipping and receiving processes, maintaining accurate chain-of-custody records.
- Digitize historical trophy entries and archival photographs as time and resources allow.
- Collaborate with the Assistant Director of Big Game Records and other staff on department projects.
- Other duties as assigned.
Minimum Requirements
- Proficiency in Microsoft Office Suite (Word, Excel), Adobe Photoshop, Google Drive, and database management or reporting software.
- Excellent verbal and written communication skills, including strong spelling and grammar.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a detail-intensive environment.
- Commitment to wildlife conservation and the mission of the Boone and Crockett Club.
- Willingness to become a Boone and Crockett Club Official Measurer (training provided).
Preferred Requirements
- Bachelor’s degree preferred.
- Prior experience working in records management, data entry, wildlife conservation or non-profit.
- Familiarity with North American big game species and trophy hunting traditions.
- Experience with archival digitization or photographic scanning processes.
Physical Requirements
- Ability to work for extended periods at a desk and computer workstation.
- Must be able to lift up to 50 pounds.
- Occasional travel may be required to support the Awards Program and other Club events.
