Position Summary
The Bookkeeper & HR Specialist supports the organization's financial and administrative operations by maintaining accurate bookkeeping records, processing accounts payable and accounts receivable transactions, preparing invoices, managing financial documentation, and assisting with payroll and HR administration. This role works closely with staff, fiscally-sponsored subsidiary organizations, the Executive Director, and payroll administrator to ensure accurate financial records, timely payments and invoicing, and compliance with organizational procedures.
Key Responsibilities
Bookkeeping & Finance
- Manage accounts payable, including entering bills, reimbursements, and credit card transactions in QuickBooks Online and BILL
- Accurately code revenue and expenses by class, category, and account
- Attentively review bills and receipts for accuracy and compliance
- Keep organized, audit-ready financial records and documentation
- Prepare financial reports and documentation for internal review and external audits
- Reconcile bank accounts
- Manage cash receipts
- Prepare and track invoices for grant-funded projects and other organizational activities
- Monitor accounts receivable and record grant payments and other income
- Coordinate with project managers and the Executive Director to ensure accurate billing information
- Assist with tracking revenue and maintaining supporting documentation for invoicing and grant reimbursement requests
HR & Payroll Support
- Maintain organized and confidential personnel files
- Assist with virtual timesheet collection, submission, and e-filing
- Submit payroll to Insperity twice a month
- Create & maintain database of payroll reports
Compliance & Internal Controls
- Follow established financial procedures and approval workflows
- Maintain accurate e-records and hard copy records in accordance with document retention policies
- Work closely with Executive Director to ensure timely and accurate processing of Accounts Payable, Accounts Receivable, and Payroll
Qualifications
- Experience with QuickBooks Online and BILL required
- Understanding of basic bookkeeping principles
- Demonstrated experience with accounts payable and financial recordkeeping
- Experience allocating expenses to the proper categories, classes, and chart of accounts
- Strong attention to detail and accuracy
- Experience with clerical and administrative work, including filing systems and tracking spreadsheets
- Ability to maintain confidential personnel and financial records
- Strong communication, follow-through, and organizational skills
- Ability to follow established processes, internal controls, and approval workflows
- Strong time-management skills and ability to meet deadlines consistently
- Familiarity with payroll or HR systems (Insperity experience a plus)
- Nonprofit bookkeeping experience preferred
- Comfortable working in an in-person office environment
Work Schedule & Location
- Part-time position with flexible hours
- Requires 12-16 hours per week
- In-person work once a month at office at the Richmond Field Station
Work Environment and Values
Work is performed in a joint office setting, with the option of performing some work remotely. Office location is at the Richmond Field Station in Richmond, CA.

Compensation
This is a part-time position with an hourly rate of $75. This position is flexible with an estimated time commitment of 12-16 hours a week.
