BRANCH ADMINISTRATOR

Bluestem Ecological Services is seeking a candidate to work in the growing field of ecological restoration. Preferred candidates will have an interest in environment/native landscaping and possess strong organizational & computer skills.

JOB DESCRIPTION:

The Branch Administrator (BA) supports the Branch Manager while providing administrative and operational support to the sales, field, and operations teams. The BA’s goal is to make Bluestem easy to work with by enabling Operations and Sales teams to maximize their time in the field and with customers, helping deliver outstanding customer experience and high-quality service. The BA is responsible for ensuring accurate data flow between sales, operations, and finance, implementing financial and administrative controls, and supporting the overall smooth and efficient functioning of the branch.

GENERAL RESPONSIBILITIES:

  • Weekly invoicing, including sharing job photos, completing Waivers forms and responding to overdue/collections.
  • Tracking & reviewing Sales spreadsheets including marketing budget, YTD sales and Job Cost summaries.
  • Support marketing and inside sales functions including attending 3-5 annual tradeshows, coordinating marketing collateral and lead generation (prospective client calls).
  • New job set up for sales/production using a proprietary, custom software.
  • Assistance preparing documents for RFP responses (COI, bid bonds, references, notary, etc.).
  • Support the Branch Manager and operations team with scheduling and coordination.
  • Attending to client needs.
  • Ordering supply for office and field team

QUALIFICATIONS:

  • Proficient in Microsoft 365/Office suite
  • Technical/professional writing skills
  • Strong organizational skills, detail-oriented
  • Interest in environment/native landscaping
  • Notary Certification is a plus
  • Preferred 2-5 years of administrative experience

COMPENSATION & BENEFITS PACKAGE:

  • $45,000.00 - $60,000.00 annual salary, paid weekly
