Position Overview
OUR CITY FOREST of Silicon Valley is seeking an experienced Business & Finance Manager to provide day-to-day oversight of business, financial, and administrative operations. The ideal candidate enjoys working in a team-based environment, is versatile and flexible, and has proven experience handling a wide range of responsibilities spanning business, finance, and benefits administration..
Key Responsibilities
General Management & Business Support Functions
- Train, supervise, and support bookkeeping and business support staff.
- Work closely with the contract accountant to ensure timely financials and invoice submittals.
- Collaborate with senior program staff to ensure financial compliance in all operations.
- Establish and communicate financial, business, and HR policies and procedures to staff.
- Analyze spending and project timelines for grants and contract agreements.
- Assist with preparing budgets for grant applications and related needs.
- Maintain a calendar of relevant events, processes and deadlines.
- Provide reports, analyses, or other assistance, as requested
- Seek cost comparisons and quotes to ensure cost-effective vendor agreements
Financial Monitoring and Budgets
- Work closely with contract accountant to complete monthly financials, annual audits, tax preparation forms, and invoices in an accurate and timely manner.
- Oversee AR, AP, and payroll tasks performed by staff to ensure accuracy and timeliness.
- Review and analyze monthly financials.
- Monitor program spending, identify concerns, and recommend budget modifications to balance spending and revenue.
- Work with staff across programs to ensure fiscal data is gathered and tracked properly.
- Coordinate data gathering and updates for the annual budget development process.
- Identify cost savings opportunities.
Work Plans & Contract Agreements
- Provide executive support for contract agreements and work plans.
- Develop, execute, and track financial aspects of fiscal agreements.
Human Resources Administration
- Oversee the administration of personnel benefits.
- Support the hiring process, including recruiting, hiring, onboarding, orientation, and training.
- Assess OCF’s non-discrimination, diversity, and equity strategies.
- Inform and educate staff members on personnel benefits and policies.
Required Qualifications
- 3+ years experience in a business, financial, and/or accounting capacity
- 3+ years experience in managing personnel
- HR benefit administration experience
- Excellent written and verbal communication skills
- Experience drafting, managing, and monitoring budgets, policies & processes.
- Experience creating and analyzing metrics to improve processes, objectives, and outcomes.
- Skilled delegator with ability to motivate and inspire others.
- Track record of modeling and creating a professional work environment that supports people and processes to work collaboratively to meet organizational goals.
Salary & Benefits
- The current salary range for this position if $68,000 - $74,000. Starting salary will be dependent on skills and experience.
- Full-time employees are eligible for full benefits including paid combined personal leave (vacation and sick), organization holidays, medical, dental and vision plans, and a retirement plan.
- Remote work is negotiable.
- Consideration will be given for part-time availability (24 hours minimum) and partial remote work.
Our City Forest (OCF) is an award-winning San José-based urban forestry nonprofit with a focused mission around growing the urban forest in under-canopied and low-income neighborhoods. Since 1994, has been an environmental justice leader for San José, while also training new generations of urban forestry experts. OCF has secured grants and donations to mobilize 150,000+ volunteers and train 650 low-income young adults to assist neighborhoods, schools, agencies, and businesses, all under the tutelage of OCF’s professional staff team of arborists and urban foresters. OCF’s resources and collaborative partnerships have added 75,000+ large shade trees and 25,000+ shrubs to our urban forest. A signed stewardship agreement is obtained for every tree through OCF’s community-based stewardship program, and follow-up is provided for 3 years to help ensure successful establishment.
