Reports To: RFOV Executive Director

Compensation: Salary Range $56,000-$65,000 commensurate with experience. ABOUT RFOV

Roaring Fork Outdoor Volunteers (RFOV) is a non-profit organization with a mission to promote stewardship of our public lands by engaging our community in education, restoration and conservation projects. We work to foster a diverse and empowered community of stewards working collectively to create healthy and resilient landscapes. Serving the communities from Aspen to Parachute, RFOV mobilizes thousands of volunteers and educates hundreds of students to work on projects in the areas of sustainable recreation, healthy landscapes, and fire adaptation.  Each year, we work on 60-80 different project sites in four counties (Pitkin, Garfield, Eagle, and Gunnison) using a combination of public volunteer projects, custom group work projects, youth service-learning projects, and professional trail crew. 

JOB SUMMARY

The Development Coordinator primary responsibilities is to support and advance RFOV’s resource development needs. This role manages the donor database, coordinates logistics for special events, assists with donor stewardship and appeals, and assists with grant writing and grant management. This position works closely with the Executive Director and the Communications and Engagement Manager. The ideal candidate is highly organized, data-driven, and passionate about advancing RFOV’s mission.


ESSENTIAL RESPONSIBILITIES

Responsibilities include, but are not limited to, the following:

Donor Relations & Communications

  • Oversee donor appreciation, acknowledgement, and member renewals; Help to nurture and maintain current and new donor relationships
  • Conduct prospect research to identify prospective individual, corporate, and foundation donors.
  • Collaborate with the Executive Director and Communications and Engagement Manager to effectively communicate RFOV’s impact and mission to funders, partners, and volunteers
  • Draft fundraising copy for direct mail appeals, email newsletters, and website landing pages.
  • Coordinate mailing list preparation for annual giving, recurring gift programs, and seasonal campaigns.
  • Interact professionally with donors to answer basic inquiries regarding giving history and options.
  • Assist with RFOV’s corporate philanthropy and sponsorship including monetary, food and material donations for projects and programs
  • Manage RFOV’s profile on external fundraising sites such as Colorado Gives Day, Guide Star, etc.

Database Management & Gift Processing

  • Process all incoming financial contributions, including online, mailed, corporate, and in-kind gifts.
  • Maintain all development records and data integrity in Salesforce to ensure their accuracy and usefulness for both developing and analyzing strategy 
  • Facilitates timely donor acknowledgments, tax receipts, and personalized thank-you letters.
  • Generate standard and custom financial reports, dashboards, and donor segments to track fundraising progress. 

 Administrative & Grant Support

  • Supports the creation and facilitation of the annual development plan, tracking activities against goals and assisting the Executive Director and Board in fulfilling tasks.
  • Assist with compiling data and writing the annual Development Report.
  • Maintain the development calendar, tracking deadlines for grant applications and reporting.
  • Compile supporting documents including but not limited to budgets, IRS determination letters etc., for institutional grant applications.
  • Write delegated grant applications and reports on time; ensure accuracy of information submitted
  • Research new grant opportunities including youth education aligned funding sources 
  • Deposit checks in the bank weekly
  • Ensure RFOV’s supply of office materials (thank you notes, paper, stamps, letterhead) are in stock and up to date

Event Coordination & Logistics

  • Coordinate logistical planning for fundraising events, campaigns, and donor appreciation gatherings.
  • Manage event registration platforms, attendee lists, ticketing, and RSVPs.
  • Serve as a point of contact for external vendors, caterers, and venues.
  • Recruit, train, and supervise volunteers required for successful event execution.
  • Occasionally attend outreach events to help raise awareness about RFOV’s mission and programs

PERSONAL CHARACTERISTICS 

The successful candidate will be passionate about outdoor recreation, public land stewardship, community engagement, and action-oriented impact. They will be able to work both collaboratively and independently, be flexible and adjust to a dynamic funding environment, and thrive in situations where multiple and diverse demands are involved. They will also be highly organized, detail-oriented, self-directed, and resourceful with ability to take initiative and follow-through on independent projects.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Passion for RFOV’s mission and vision
  • Strong interpersonal skills, ability to interact appropriately with a diverse array of donors, volunteers, partners, and stakeholders
  • Excellent communication skills, ability to write and speak in an articulate manner
  • Project Management: Strong multitasking skills with the ability to manage strict timelines and event deadlines.
  • Technical Skills: High proficiency in Microsoft Office Suite (especially Excel for data sorting) and Google Workspace.
  • Discretion: Demonstrated ability to handle confidential donor financial information with high ethical standards. 
  • Self-directed, highly motivated, reliable, with a results- and solution-oriented perspective, organized with an attention to detail, flexible with strong time management skills
  • Knowledge and experience in development and fundraising best practices
  • Knowledge and experience working with CRM databases; experience with Salesforce highly desirable
  • Ability to pass criminal and driving background checks
  • Commitment to advancing equity, diversity, and inclusivity

PHYSICAL REQUIREMENTS:

  • Ability to lead or attend volunteer stewardship projects

Work Schedule

The weekly work schedule is generally Monday-Friday 9-5 with weekend and occasional evenings required. Travel with a personal vehicle is required. Flexible schedules and a hybrid remote/onsite schedule is possible. Some local travel, night meetings and weekends required.
