 Peconic Land Trust is a non-profit organization with the mission of conserving Long Island’s working farms, natural lands, and heritage for our communities now and in the future. Our Fundraising Department is looking for a Donor Stewardship Coordinator to assist with a multi-faceted strategy to thank and recognize all donors through print and digital media including all aspects of communication. This individual will be supporting the Major Gift Officer in fundraising activities. We are looking for a positive individual who wants to make a difference on Long Island.

Job Responsibilities include:

Donor Stewardship  

  • Thanking all donors at $999 and below through phone, email, and snail mail
  • Coordinates personal thanks for $1000+ donors with the Director of Development, Development Officer, or assigned solicitors
  • Stewards' new donors to retain them, including sending new donor welcome packets, anniversary cards, and other follow up cultivation in the first year of giving
  • Enter new donor surveys into database to better understand what inspires their support
  • Project manages language and design of annual impact card, including gathering data from other departments, working with the Annual Giving Coordinator to develop copy and send to the mail house, and Marketing for design
  • Develops new ways to steward established donors with an eye on streamlining processes with personal touches
  • Partner with Marketing to contacts donors for donor spotlights and maintains spreadsheet of past and upcoming spotlights


  • Working with mail-house generates acknowledgement letters and pledge reminders once the Manager of Donor Information reconciles
  • Provides the Development Assistant with in-house generated acknowledgements
  • Stays current on laws and regulations related to fundraising and acknowledgement

Mid-level donor & Planned Giving stewardship

  • Maintains the mid-level donor program (supporters at the $500 to $5,000 range) to move them up the pipeline to become major donors
  • Maintains relationship with planned giving donors that are not assigned to a solicitor with special touches throughout the year
  • Working with the Annual Giving Coordinator to create special segmenting and messaging for these groups to for direct mail and acknowledgements
  • Identifies donors that want to engage and move them up the pipeline to the Major Gift Officer’s portfolio

Donor cultivation events

  • Manages our $1000+ donor events as well as venture project events, pulling in key people to retain speakers, location, permits and catering as needed
  • Works with the Development Assistant to create invitations for snail mail and email
  • Creates copy for event invitations in collaboration with the Annual Giving Coordinator
  • Attends events (weekends/evening) and oversees activities onsite during set-up, break-down and during the event
  • Manages RSVPs and generates event attendee lists

Recurring gift program

  • Stewards recurring gift donors through quarterly updates
  • Responds to questions about upgrades and downgrades
  • Follows up on declined credit cards
  • Recognizes this unique group to make them feel special and involved through lists, events, and other avenues

Donor Research

  • Research donors when gifts come in, completing donor narrative and flagging donors with high giving potential
  • Oversees donor research for senior management in preparation for donor cultivation or fundraising events
  • Conducts reactive research on all donors, with emphasis on constituents’ wealth, interests (including philanthropic interests) and relationships and analysis thereof
  • Shares major donor prospects with key staff people

General Administration responsibilities

  • General assistance to the overall operation of the office as needed
  • Perform other work-related duties as may be deemed appropriate by the President or Vice President
  • Report any problems, concerns, or grievances to your supervisor or the Director of People and culture
  • Track all billable and non-billable time in Harvest
  • Attend required events

Organization Development responsibilities

  • Every staff member has a personal responsibility through their daily work to cultivate professional relationships with the broader community, enhance the donor experience, and document appropriate information in Trust files and databases-all to maximize opportunities and financial resources to further the trust’s mission
  • Proactively work toward the continuous improvement of workplace efficiency and effectiveness, including identification of areas in need of improvement, and participation in corrective efforts
  • Design and maintain a personal system for providing and receiving the feedback necessary to effectively perform job functions, and for helping others effectively meet their job responsibilities
  • Work effectively with others, always retaining a focus on Trust’s goals, objectives, and mission, recognizing that the Trust’s success is measured by the ability of its staff to work together
  • Develop and implement a plan for personal development and improvement
  • Maintain high standards of safety through all operations to ensure that no employee is required to work under conditions that are hazardous, unsanitary, or unsafe in any way.

Qualifications & Skills 

  • 2 or more years’ experience in donor stewardship and event management
  • Bachelor’s Degree in communications or Business Administration a plus
  • Strong organizational and interpersonal skills
  • Must be meticulous and produce accurate work 
  • Strong computer skills required, including Microsoft Suite and CRMs
  • Excellent written, listening, and oral communication skills
  • Ability to manage multiple tasks and responsibilities effectively in a demanding environment
  • Must be responsible and possess the ability to exercise good judgment and follow-through on tasks independently
  • Ability with to work independently and collaboratively with a team while maintaining a positive attitude.
