Position Overview
Big Thompson Watershed Coalition (BTWC) is seeking a highly organized, detail-oriented individual with strong financial management and grant administration skills. This role will support our growing portfolio of restoration, forestry, and community engagement projects by managing daily bookkeeping, assisting with grant compliance, and improving internal systems for tracking deliverables and reporting. Ideal candidates will enjoy building structure, solving problems, and supporting mission-driven work.
This position is a key part of BTWC’s operations, helping ensure financial systems, grant compliance, and reporting remain accurate and well organized as the organization continues to grow. The ideal candidate is proactive, highly organized, and comfortable coordinating with staff to ensure financial records and grant documentation remain accurate and up to date. The position works closely with the Executive Director and program staff to support the financial and reporting needs of BTWC’s restoration and forestry programs.
Key Responsibilities
Bookkeeping & Financial Administration
- Perform daily bookkeeping using QuickBooks Online, including accounts payable/receivable, expense coding, reconciliations, credit card management, and recurring transactions
- Maintain accurate and timely financial records for multiple restricted and unrestricted funding sources
- Assist with payroll processing and employee reimbursements
- Support preparation of monthly financial statements, budget vs. actual reports, and grant-specific financial summaries
- Ensure documentation standards align with audit and funder requirements
- Provide administrative support for audits, financial reviews, and funder monitoring inquiries
- Help staff align scopes of work, budgets, and reporting templates across funders
- Contribute to process improvements that make BTWC’s financial and reporting systems more efficient
- Support other administrative and operational tasks as needed
Grant Administration & Reporting
- Track deadlines, deliverables, and reporting requirements for all active grants
- Maintain organized digital files for grant agreements, budgets, invoicing, match documentation, and progress reports
- Support staff in developing quarterly and annual grant reports by assembling financial data
- Assist in preparing reimbursement requests, budget amendments, and supporting documentation
- Flag upcoming deadlines and work with staff to ensure all grant reporting and reimbursement materials are submitted on time
Qualifications
- Experience in nonprofit bookkeeping using Quickbooks or QuickBooks Online
- Working knowledge of grant management and Uniform Guidance
- Familiarity with grants or contract administration (nonprofit, local government, or similar environment preferred)
- Strong organizational skills with the ability to manage multiple deadlines and complex workflows
- Excellent attention to detail and comfort working with financial data
- Strong documentation habits and a compliance mindset to maintain organized financial and grant records across multiple funding sources
- Interest in improving organizational systems and helping build clear internal processes for financial and grant tracking
- Strong written communication skills for report drafting
- Ability to manage recurring responsibilities with minimal oversight while coordinating with staff in a small, collaborative team
- Ability to communicate proactively with staff to gather documentation, track deadlines, and support timely grant reporting
- Commitment to BTWC’s mission and interest in supporting collaborative watershed restoration and community resilience efforts
Preferred Skills (not required)
- Experience with federal and state grants (e.g., NFF, CDPHE, CSFS, CWCB, USFS)
- Experience with developing and/or managing project management tracking systems (e.g., Monday.com, Asana, etc.)
- Familiarity with environmental restoration or natural resource management projects
- Interest in building internal systems, improving workflows, or supporting cross-program coordination
Working Conditions
- Able to work from home with minimal distraction, under standard office conditions; considerable sitting, standing, and viewing of computer
Compensation
Hourly rate: $30–$40 per hour depending on experience (equivalent to approximately $55,000–$70,000 full-time).
This position is expected to work approximately 15–25 hours per week depending on workload, grant reporting cycles, and organizational needs. BTWC is open to structuring the role as either an hourly employee position or an independent contractor arrangement depending on candidate preference and qualifications.
