Position Title: Finance and Operations Coordinator

Status: Fulltime 40 hours per week (FTE 1.0)

Location: Durango, CO

Reports to: Executive Director

Background: Wildfire Adapted Partnership (www.wildfireadapted.org) is a regional nonprofit organization that promotes wildfire education and preparedness, planning, and hazardous fuels mitigation across Archuleta, Dolores, La Plata, Montezuma, and San Juan counties.  Wildfire Adapted works with a wide range of partners including: federal, state, local organizations/agencies, communities, and residents with a vested interest in wildfire preparedness.

Job Purpose: Working out of Wildfire Adapted Partnership’s Durango office, the Finance and Operations Coordinator works with the Executive Director on the day-to-day operations of the organization. Tasks include: financial management assistance; grant coordination (writing proposals, ongoing management of deliverables, reporting, and preparing reimbursement requests); office management; support to WAP staff on program delivery; data entry; meeting and event logistics; and other support tasks as assigned.

Essential Duties and Responsibilities: Specific duties include but are not limited to:

Financials and Organizational Administration

  • Assist the Executive Director (and coordinate with the accountant as needed) with organizational financials including: QuickBooks entries for monthly deposits and expenses, processing checks for payment, creating financial reports for the Board of Directors, etc.
  • Administer Wildfire Adapted Partnership donation program: organize and track donations and send thank you letters
  • Help prepare items for monthly Board of Directors meetings, attend meetings to take notes and compile minutes afterward
  • Organize and maintain both digital and hard files for the organization
  • Coordinate office administrative and clerical functions to assure an efficient and effective work environment and provide support for other organizational operations such as annual strategic planning/staff and board retreat and other logistics
  • Point of contact for all general inquiries from partner organizations, WAP staff, and the general public including covering the Durango office for walk-ins and directing phone calls.

Grants Administration:

  • Support to Executive Director in preparing grant proposals
  • Support with managing awarded grants (approx. 15 active grants). Tasks include regular reporting of accomplishments and processing grant reimbursement requests: compile before and after photos, prepare project invoices, and organize attachments
  • Additional data management and reporting as needed with ongoing communication to funders

Program Delivery:

  • Point of contact for the Chipper Rebate Program including processing applications and reimbursement requests for the program
  • Provide support to County Coordinators as needed for implementation of WAP programs such as Neighborhood Ambassador Program, wildfire risk site assessments and cost share programs while creatively enhancing WAP’s public image within the community.
  • Support to County Coordinators for coordination with communities and partners on wildfire community planning documents (Community Wildfire Protection Plans and Community Assessments)

Qualifications:

  • College degree in a related field, or 2 years of experience in nonprofit management, grant management, human resources, or program support
  • Strong proficiency in Microsoft Office Suite and database management
  • Experience with nonprofit financials and QuickBooks knowledge preferred
  • High level of time management and organization skills
  • Background in customer service and office management
  • Ability to handle multiple tasks and a high volume of work on deadline
  • Ability to work independently
  • Excellent communication skills, both oral and written
  • Team player with the ability to collect many different types of input and move forward in a positive, productive way
  • Some grant writing, reporting, and/or grant management experience preferred
  • Willingness to learn about wildfire issues and wildfire adaptation principles
