The Program Support Specialist is a vital role within the Nevada Conservation Corps (NCC) program dedicated to advancing our mission of environmental stewardship and community service.
This position is responsible for providing comprehensive administrative and organizational support to ensure the efficient operation of our program. Key responsibilities involve assisting with coordinating project schedules, handling of documentation and resources, supporting team communications, and assisting with the logistical aspects of program activities.
The ideal candidate should have a strong inclination towards environmental conservation, demonstrate excellent organizational abilities, attention to detail, possess the capability to effectively support and collaborate with team members, and work effectively both independently and as part of a team.
Essential Job Functions:
- Administrative and Reporting Support: Facilitate the processing of administrative paperwork, including timesheets and invoice reviews. Provide assistance in compiling data for quarterly and annual reports.
- Field Operations and Reporting Support: Aid in the planning and communication with staff, and supporting logistics for field crews. Monitor seasonal field data. Prepare and distribute comprehensive field data reports to project partners, ensuring clear communication and alignment with project objectives.
- Document Compliance and Organization: Assist in auditing and editing documents to confirm adherence to compliance standards and secure storage. Focus on maintaining an organized electronic filing system, ensuring documents are easily accessible and systematically archived.
- Database Accuracy and Systems enhancement: Maintain and improve data accuracy and systems across various databases to improve efficiencies.
- Orientation and Training Facilitation: Assist in organizing and occasionally leading training sessions and orientations, both remotely and in-person.
- Meeting and Event Logistics: Facilitate and assist with the setup and coordination of meetings and events, including equipment setup and attendee management.
- Publication Assistance: Facilitate the production and distribution of program publications (handbooks, annual reports, recruitment materials), and maintain an accurate inventory.
- Response System Development: Assist in creating efficient systems for responding to telephone and written information inquiries.
- Feedback Collection and Review: Assist in gathering and analyzing feedback to identify opportunities for program improvement.
- Communication Support: Promote and facilitate effective communication within the team and with external partners.
Workplace Maintenance: Assist in maintaining a safe, clean, and professional workplace.
LOCATION
Based at GBI offices in Reno, NV The “Biggest Little City in the World” the greater Reno-Sparks metropolitan area has a population of over 435,000. The city is a high desert landscape ~4,500 feet above sea level, at the foot of the Sierra Nevada mountains along the Truckee River, as it flows from Lake Tahoe to Pyramid Lake. Weather is mild, but with distinct four seasons. Reno offers easy access to world-class outdoor recreation including driving distance to Yosemite and Death Valley National Parks, the Pacific Ocean, and California redwood forests. Closer to home, Nevada offers more natural hot springs than any other state in the country, over 150 named mountain ranges, and 30 peaks over 11,000 feet. Recreation and entertainment includes eight major ski resorts in proximity to the Reno-Tahoe airport; fishing and boating on Lake Tahoe, the Truckee River, and Pyramid Lake; cultural festivals throughout the summer along the banks of the Truckee River; a thriving food scene and more.
COMPENSATION AND BENEFITS
Salary range is $29.00 to $31.00 hourly, DOE. In addition to a competitive base salary, this full-time, onsite position includes comprehensive medical, dental, and vision insurance, as well as mental health support resources, 401(k) retirement savings with up to 4% GBI match, competitive PTO accrual, paid holidays (10 per year), and family leave. Total compensation package range is $68k to $73k per year, DOE. Knowledge, Skills, and Abilities
- Strong working knowledge of office procedures and administrative workflows.
- Advanced proficiency with digital tools such as Google Workspace, Microsoft Office, and database/tracking systems.
- Excellent written and verbal communication skills, with the ability to engage effectively with diverse groups.
- Strong organizational skills and attention to detail, with the ability to manage competing priorities and meet tight deadlines.
- Ability to work independently and collaboratively, demonstrating sound judgment and self-motivation.

- Proficiency in problem-solving and information-sharing in dynamic, fast-paced environments.
- Ability to interpret and implement complex written and oral instructions, prepare reports, and manage correspondence.
- Ability to meet federal security screening requirements (FBI background check, National Sex Offender Public Registry).
Experience:
- Minimum of 5+ years of experience in an administrative or similar role.
- Minimum of 1+ years performing accounting or finance-related tasks (payroll and invoice review, budget tracking, expense reconciliation).
- Experience working in deadline-driven environments requiring accuracy, organization, and adaptability.
- Experience communicating across diverse groups and contributing effectively within team-based work.
Preferred:
- Degree in business administration, accounting, finance, or a related field.
- Experience within federally funded programs, conservation corps, or other mission-driven organizations.
- Familiarity with federal compliance processes and security screening requirements.
- Experience improving administrative systems, workflows, or recordkeeping processes.
- Experience supporting teams in dynamic operational environments.
