Position Description

Western Resilience Center is seeking a highly organized, resourceful, and people-oriented Operations & Engagement Coordinator to strengthen the organizational systems and engagement activities that enable our team and community to advance Western Resilience Center's mission.

Internally, the Coordinator helps Western Resilience Center operate effectively by coordinating administrative systems. Externally, the Coordinator creates welcoming, professional, and well-executed events and convenings and ensures strong follow-through after people interact with Western Resilience Center.

This is an ideal position for someone who enjoys connecting people and details: creating order, building reliable systems, coordinating logistics, anticipating needs, and helping both colleagues and community members have positive experiences with the organization.

The Operations & Engagement Coordinator reports to the Executive Director and/or designated supervisor and works collaboratively with staff across the organization as well as Western Resilience Center's external service providers.

Primary Responsibilities

Organizational Operations & Administration

  • Serve as a first point of contact for Western Resilience Center, acting as a welcoming front-entrance staff member and responding to the general phone line and email.
  • Provide administrative and logistical support for organizational priorities and special projects.
  • Proactively identify upcoming administrative needs and deadlines and coordinate appropriate follow-through.
  • Coordinate, maintain and keep record of contracts, policies, licenses, permits, insurance documents, registrations, and other key organizational documents, filings and deadlines.
  • Coordinate, organize and maintain inventories of office and event supplies, furniture, equipment, technology, and event materials.
  • Coordinate routine communications with property managers, vendors, contractors, facility and service providers.
  • Manage organizational mail and routine office communications.
  • Coordinate technology and audiovisual support needs for meetings, events, and presentations.
  • Develop and maintain administrative checklists, templates, calendars, standard operating procedures, and shared resources.

Employee Experience & HR Coordination

  • Coordinate employee onboarding and offboarding, including application materials, paperwork, internal resources, equipment, and administrative orientation, and IT needs.
  • Coordinate administrative aspects of employee benefits, annual enrollment, and benefit updates in partnership with Western Resilience Center's HR and benefits providers.
  • Maintain employee resource center and employee handbook materials, onboarding resources, forms, organizational policies, and staff resources in coordination with organizational leadership.

Community & Stakeholder Engagement Coordination

  • Work collaboratively with staff to plan and execute events and engagement activities.
  • Coordinate logistics for approximately four events or engagement activities per month, in addition to major annual events requiring longer-term planning and preparation.
  • Manage event logistics from planning through follow-up, including venues, catering, rentals, vendors, registration, speakers, volunteers, permits, insurance requirements, audiovisual needs, supplies, signage, event materials, attendee communications and run-of-show documents.
  • Serve as the day-of logistics lead for assigned events.
  • Coordinate post-event follow-through, including attendance and participation data, surveys, thank-you communications, Salesforce/contact updates, and relevant event metrics in collaboration with appropriate staff.
  • Maintain organized event records, vendor information, templates, and reusable planning tools.

Required Qualifications

  • Bachelor's or associate's degree in business administration, nonprofit management, event management, communications, human resources, hospitality, or a related field, or an equivalent combination of education and professional experience.
  • Minimum of 3 years of relevant experience in event coordination, nonprofit operations, administration, hospitality, community engagement, project coordination, office management, or a comparable role.
  • Excellent organizational skills and attention to detail.
  • Demonstrated ability to independently manage multiple overlapping project timelines and appropriately prioritize logistics, administrative processes, and follow-through.
  • Excellent written and verbal communication skills and the ability to professionally and warmly engage staff, community members, donors, guests, vendors, and organizational partners.
  • Strong interpersonal skills and a service-oriented approach to supporting both colleagues and external stakeholders.
  • Ability to remain calm, adaptable, resourceful, and solutions-oriented when priorities shift or challenges arise.
  • Strong proficiency with Google Workspace, Microsoft Office, spreadsheets, shared calendars, event registration systems, audiovisual equipment, and standard office technology.
  • Experience coordinating in-person, virtual, or hybrid meetings and events.
  • Sound judgment and demonstrated ability to appropriately handle confidential employee and organizational information.
  • Reliable transportation for local and regional event coordination and organizational activities.
  • Ability to transport and set up event materials and equipment as needed.
  • Ability to work in person in Steamboat Springs and throughout Northwest Colorado.
  • Availability to work some evenings and weekends based on event schedules.

Preferred Qualifications

  • Experience working in a nonprofit, community-based, or mission-driven organization.
  • Experience supporting donor cultivation or fundraising events.
  • Experience supporting employee onboarding, benefits administration, HR records, or recruitment.
  • Experience using Salesforce or another CRM platform, MailChimp, Canva, or events platforms.
  • Experience coordinating with IT professionals and helping colleagues effectively access technology support.
  • Familiarity with insurance administration, organizational filings, permits, or administrative compliance.
  • Experience developing administrative or event procedures, templates, checklists, or standard operating procedures.

Work Environment

This position is based in Steamboat Springs, Colorado and requires regular in-person work in a vibrant and dynamic office environment. 

The position requires schedule flexibility based on event and engagement cycles, including occasional evening and weekend work. Western Resilience Center supports flexible scheduling while recognizing that this position serves an important in-person role.

Compensation & Benefits

This salaried position can be part-time or full-time, depending on the right candidate. 

Salary range: $58,000–$68,000 annually, commensurate with relevant experience and qualifications.
