Position Summary

The Operations & Finance Coordinator is a key member of the team, providing essential administrative, financial, and human resources support to ensure the smooth day-to-day functioning of the organization. This position is available as either part-time or full-time, depending on the candidate's preference and qualifications. The role is ideal for a detail-oriented professional who thrives in a small-team environment and is comfortable taking on a wide range of responsibilities. This individual works closely with the Executive Director, Community Engagement and Development Coordinator, and Treasurer. 

About the 30 Mile River Watershed Association

The 30 Mile River Watershed Association is a nonprofit organization based in Mt. Vernon, Maine with the mission to work as a community for clean and healthy lakes, ponds, and streams in our watershed. This includes 25+ lakes and ponds, and many streams in 89 square miles across Franklin, Kennebec, and Androscoggin counties. 

Key Responsibilities

Bookkeeping & Finance

  • Maintain accurate financial records using Quickbooks online
  • Process accounts payable and receivable; prepare deposits; reconcile bank statements 
  • Prepare financial reports for the Treasurer, Executive Director, and Board of Directors
  • Assist with annual budget preparation 
  • Serve as primary contact for the external accountant, preparing and providing financial records and documentation needed to complete the annual IRS 990 and annual review.

Payroll & Human Resources

  • Submit biweekly payroll accurately and on time to payroll company
  • Maintain confidential personnel files in compliance with applicable laws
  • Serve as primary liaison for administering employee benefits programs (health insurance, retirement, PTO tracking) 
  • Manage onboarding paperwork for new hires
  • Maintain and update the employee handbook, ensuring policies remain current, accurate, and compliant with applicable laws and regulations

General Administration

  • Provide administrative support to the Executive Director
  • Manage office operations including supplies, vendor relationships, and equipment
  • Maintain organizational files and records management systems
  • Support board meeting preparation (scheduling, materials)
  • Assist with grant reporting data collection and compliance documentation as needed

Qualifications

  • 2–4 years of experience in bookkeeping, office administration, or a related role (nonprofit experience a plus)
  • Associate’s or Bachelor’s degree in Accounting, Business, or related field preferred — or equivalent experience 
  • Proficiency with QuickBooks, Microsoft Office, and Google Workspace
  • Strong attention to detail, discretion with confidential information, and organizational skills
  • Ability to manage multiple and diverse priorities 
  • Comfortable working independently as well as with a team
  • Appreciation for 30 Mile’s mission  

Work Environment and Compensation

The Operations & Finance Coordinator reports to the Executive Director and is based in 30 Mile’s newly renovated building in picturesque Mount Vernon Village, overlooking Minnehonk Lake. This position is available as either part-time or full-time,  depending on the candidate’s preference and qualifications. Some remote work is optional. The hourly wage ranges from $22.00-27.00/hour, depending on experience. Benefits include health insurance (full-time only), matching Simple IRA retirement, employee assistance program, mileage reimbursement, and generous paid time off.
