Laguna Canyon Foundation is seeking qualified candidates for the position of Operations Coordinator. This position reports to the Senior Finance Director and provides general administrative assistance to the organization. Job Description Summary
The Operations Coordinator is responsible for overseeing general office operations to maintain and enhance operational effectiveness to fulfill the Foundation’s mission. The Coordinator interfaces with department heads, relaying important information or policy changes to Foundation staff, and implementing incentives to enhance employee productivity. The Coordinator is responsible for various human resources (HR) services including payroll and employee onboarding. The Coordinator supports the Director of Development and Communications in donor gift processing and CRM software administration. Candidates should possess exemplary organization and communication skills, outstanding attention to detail, eagerness to excel in all responsibilities listed below, and capability to grow within their role at the Foundation.
Duties and Responsibilities
- Coordinate office operations, facilities management, and staffing needs with all other departments.
- Work with outside vendors to address operational and facility needs.
- Manage Microsoft and other software accounts and access as administrator.
- Assist with employee profile management and bimonthly payroll in ADP.
- Assist with hiring, recruitment, background checks, onboarding, promotion, and offboarding processes.
- Track and coordinate employee trainings and certifications; HR trainings with supervisors based on up-to-date hiring and employee development practices.
- Assist employees in enrolling and obtaining applicable benefits such as health, dental and vision insurance and retirement plans.
- Maintain employee files and personnel files in secured SharePoint folders with all updated records and documents.
- Create and update operational protocols and company information.
- Train new employees on file management systems and various organizational applications as needed.
- Assist with administrative work for events and fundraisers as requested. Some weekend events and travel may be required.
- Provide necessary logistic and administrative support, including responding to phone calls and emails, and organizing and preparing materials and mailings.
- Assist with day-to-day department operations and other duties as assigned.
Requirements:
- Bachelor’s Degree or Associate’s Degree plus 2+ years of relevant experience, or equivalent combination of education and experience.
- High level of organization.
- Ability to prioritize multiple tasks and deadlines.
- Attention to detail, data integrity, and confidentiality.
- Comfortable working on a PC platform.
- Proficiency in Microsoft Office Suite applications.
- Highly motivated and a proven self-starter who can work independently and as part of a team.
- Strong verbal and written communication skills and the ability to present ideas and plans clearly and effectively.
- Eagerness to work collaboratively in a fast-paced, team-oriented, and goal-driven environment, and to contribute to the Foundation’s success.

- Ability and willingness to work weekend and occasional evening hours as necessary.
- Access to a reliable vehicle, valid driver’s license and required insurance coverage, and willingness to use personal vehicle for work purposes (mileage reimbursement available).
The ideal candidate may also have:
- Direct experience with Salesforce or other CRM such as Raisers Edge.
- Familiarity with basic graphic design principles and Adobe CS/Canva.
- Experience with payroll software such as ADP Workforce Now.
Compensation and Benefits:
- Compensation is commensurate within the nonprofit field and is based upon experience. Annual compensation range is $52,500 – $57,740 per year.
- Starting at 2 weeks vacation per year plus paid holidays and sick days.
- Laguna Canyon Foundation contributions to employee health insurance (eligible on the first day of the first month after hire) and retirement benefits (LCF match available after first full year of employment).
- Hybrid work structure. A minimum 3 days/week to be worked in the Foundation’s office, 2 days/week may be worked from home office. Schedule modifications are per the discretion of the supervisor. Flexibility is required regarding the days of the week in office to accommodate needs such as event preparation, in-person meetings and staff onboarding.
