GBI’s Basin and Range Forestry Program (BRF) is seeking a Program Coordinator. BRF plays a pivotal role in supporting critical US Forest Service initiatives, including post-fire recovery, hazardous fuels removal, biological surveys, and community protection. Through these efforts, the program makes a meaningful impact on the environment, ensuring sustainable and resilient ecosystems for the benefit of all.

The Program Coordinator will work collaboratively with our existing team to support program logistics, operations, hiring and subsequent management of GBI field personnel in California and other western states. Forestry field crews work with USFS specialists on a variety of field-based projects including layout and marking, stand surveys, wildlife and botany surveys, vegetation management, and other resource management initiatives. 

The Coordinator works with GBI support staff to remotely recruit and oversee forestry crews; coordinate project logistics including seasonal housing, vehicles, and required project supplies; perform payroll and expense management; review and approve project invoices; ensure compliance with grant and agency rules and regulations; and other administrative duties as needed. 

Essential Job Functions may include the following:

  • Manage assigned forestry, botany, wildlife, and conservation projects from seasonal planning through project completion, serving as the primary point of contact for agency partners, field personnel, and internal stakeholders.
  • Develop annual workforce and project implementation plans by collaborating with agency partners to assess project scopes, staffing needs, housing requirements, vehicle needs, equipment requirements, schedules, and operational priorities.
  • Lead and execute recruitment and hiring efforts for seasonal conservation crews by developing recruitment strategies, screening applications, conducting interviews, facilitating candidate selection, and coordinating hiring activities with internal support staff.
  • Manage up to 35 seasonal field personnel  remotely throughout the field season through regular check-ins, performance coaching, issue resolution, logistical support, and ongoing communication regarding project progress, safety, and workforce needs; this includes responding to occasional urgent matters outside of work hours.
  • Cultivate and maintain relationships with agency partners through routine communication, project planning meetings, site visits, and progress updates to facilitate long term program growth and effective program delivery. Resolve complex operational challenges while adapting to changing federal requirements and priorities; and maintain positive working relationships that support successful project outcomes and future program opportunities..
  • Coordinate project logistics and resource deployment by identifying housing, vehicle, equipment, supply, and training needs and working with internal support teams to ensure resources are secured and delivered in support of project operations.
  • Monitor project budgets, expenditures, and grant requirements and produce seasonal cost estimates to support financial accountability, compliance, monthly invoicing and successful project delivery.
  • Review and process administrative documentation including timesheets, expense reports, leave requests, personnel actions, workers compensation, and other program records in accordance with organizational procedures.
  • Maintain project records, databases, and tracking systems to monitor staffing, project deliverables, performance metrics, operational outcomes, and wildfire threats.
  • Compile and manage information required for programmatic, grant and agreement, and partner reporting requirements, including quarterly, annual, and project-specific reporting.
  • Identify opportunities to improve program operations, employee experience, and project outcomes through process improvements, system enhancements, and collaboration with program leadership.
  • Collaborate with program staff and cross-functional teams to support program operations, growth, and organizational initiatives.
  • Perform other duties as assigned in support of program and organizational objectives.

LOCATION

Based at GBI offices in Reno, NV The “Biggest Little City in the World” the greater Reno-Sparks metropolitan area has a population of over 435,000. The city is a high desert landscape ~4,500 feet above sea level, at the foot of the Sierra Nevada mountains along the Truckee River, as it flows from Lake Tahoe to Pyramid Lake. Weather is mild, but with distinct four seasons. Reno offers easy access to world-class outdoor recreation including driving distance to Yosemite and Death Valley National Parks, the Pacific Ocean, and California redwood forests. Closer to home, Nevada offers more natural hot springs than any other state in the country, over 150 named mountain ranges, and 30 peaks over 11,000 feet. Recreation and entertainment includes eight major ski resorts in proximity to the Reno-Tahoe airport; fishing and boating on Lake Tahoe, the Truckee River, and Pyramid Lake; cultural festivals throughout the summer along the banks of the Truckee River; a thriving food scene and more.

COMPENSATION AND BENEFITS

Starting annual salary is $45,700 - $49,700 DOE (NOTE: in Nevada, there is no state income tax). In addition to a competitive base salary, this full-time, onsite position includes company-paid medical, dental (with option to upgrade both coverages), and vision insurance, as well as $25,000 Life/AD&D policy. Voluntary short-term and long-term disability policies are available, and voluntary Life/AD&D policies for family members.  Mental health support resources are employer-provided, as is 401(k) retirement savings with up to 4% GBI match, competitive PTO accrual, paid holidays (12 per year), and family leave. Total compensation package is $53,200 - $57,300 per year, DOE.  This exciting role contributes to GBI’s significant positive impacts within the fields of environmental research, education, and conservation

Qualifications

  • Experience (at least 1 year) with project management, including scheduling, logistics, personnel management, recruitment and retention, and/or training.
  • Ability to learn new database systems and follow procedural documents (e.g., payroll review procedures).
  • Proficiency in the Microsoft Office and Google suite of programs to manage, present and track program information.
  • Ability to communicate effectively, both written and verbal, with diverse audiences.
  • Strongly developed organizational skills, attention to detail, and demonstrated ability to take initiative and self-motivate.
  • Familiarity and alignment with mission-driven nonprofit organizations strongly preferred.
  • Willingness to travel occasionally to conduct site visits at service locations principally in CA and NV.
  • Willingness and ability to work in a fast-paced, dynamic office environment, and to consistently enact high performance standards and a strong work and team ethic in support of the goals and objectives of the BRF Program and the mission of GBI.
  • Valid, state-issued driver’s license and familiarity with safe-driving practices.
