Stillwater Sciences seeks a highly motivated and detail-oriented Project Assistant (PA) to join our interdisciplinary staff in the company’s new Sacramento office. This person will be responsible for assisting Project Managers across several California offices with project coordination, tracking, and document management. The PA will also work closely with our Senior Technical Editor on report development, formatting, and editing. The ideal candidate should enjoy working with an academically minded group of scientists who are passionate about what they do. This is a hybrid role with a requirement to work at least 3 days in-person.
The Project Assistant will be responsible for:
- Assisting Project Managers with the management of contract documents, budget and task summaries, and monthly project billing statements.
- Communicating with Project Managers, staff scientists, clients, vendors, and contractors from offices throughout California on various project-related items.
- Reviewing and compiling project invoices per client’s detailed billing terms requirements.
- Assisting with editing and formatting client-deliverable technical reports, proposals, presentations, and marketing materials.
- Editing documents for organization, style, format, grammar, consistency, and logical coherency.
- Assisting in the preparation of marketing materials and gathering relevant resumes or content.
- Conducting scientific literature and database searches.
- Data entry, filing, and document management.
Qualified applicants should possess:
- Proficiency in Microsoft Suite with advanced use of Microsoft Word and Excel, and Adobe Acrobat.
- Proven organizational and time management skills with the ability to effectively multi-task.
- Strong attention to detail and initiative to follow-through.
- Demonstrated excellent verbal and written communication.
- Versatility to work both independently and collaboratively.
- Experience using project-based accounting software (e.g., Deltek Vantage Point) is a plus.
- Experience with regulatory and permitting is a plus.
Required qualifications include:
- Bachelor’s degree in Technical Communication, Communications, English, Journalism, or related field – Additional focus on Environmental Regulation/Policy/Planning is a plus.
Availability, Compensation and Application Details:
- Hybrid (3 or more days/week in office) position with benefits.
- Salary is commensurate with qualifications and experience.
- Salary range is $66,000-$78,000/year, commensurate with qualifications and experience.
