This is a remote position; must reside in either the Eastern or Central Time Zone. A Madison-area candidate is preferred.
New March Strategies seeks a dynamic, self-starting Project Manager to help manage and drive our firm’s remarkable growth since its start up in 2021. As a team of five, we are the leading consulting firm helping companies deliver sustainably produced wood products to the marketplace while protecting vital conservation values including wildlife habitat, clean water, clean air, and essential social values including rural livelihoods and the rights of Indigenous Peoples. We work with Fortune 500 companies as well as small to mid-sized businesses. This position serves a dual purpose: managing all client-based activities while providing some administrative support to our CEO and Forest Certification Director (FCD) to ensure they deliver client services on time.

Responsibilities
- Manage client projects and coordinate across staff to ensure priorities are addressed in a timely fashion, action items are undertaken as needed, and deadlines for deliverables are met.
- Communicate clearly and appropriately with clients to obtain information when needed to keep projects on schedule.
- Anticipate and communicate to staff potential bottlenecks in delivering client services in a timely fashion.
- Track client project hours to ensure projects stay within budgets.
- Alert Operations Manager when projects are ready for invoicing.
- Attend client meetings and take notes as directed with a focus on capturing action items and deadlines.
- Monitor and manage CEO’s email daily to identify and communicate action items and deadlines, ensuring that urgent or high-priority emails are promptly brought to her attention, and she receives support as needed to complete action items.
- Maintain CEO’s email folders continuously, accurately filing client emails so she can easily find correspondence on her own.
- Respond to clients as appropriate where rapid or timely replies are needed.
- Working independently and with minimal direction to file information, especially action items and deadlines, into appropriate tracking systems.
- Schedule internal and external meetings for CEO and FCD.
- Lead workflow planning meetings weekly or as needed to assess overall workloads, project timelines, and priority deliverables and deadlines.
- Coordinate, set agenda, and lead weekly all-staff meetings. Ensure that meetings are on topic and on time.
- Update and maintain client and internal company files to ensure they are consistently formatted and well-organized and information is easily accessible.
- Provide support for CEO and FCD for client internal audit planning, including scheduling travel arrangements, creating itineraries; draft audit plans, schedules, and checklists; copy edit audit reports; provide remote assistance as needed; document action items and audit findings for files.
- Coordinate monthly development and delivery of monthly Forest Stewardship Council (FSC) digest to clients, including monitoring and organizing current FSC news and information, copy editing and formatting final draft. Track open and click rates in SquareSpace.
- Perform general administrative duties, including booking travel, reservations, itineraries, and registrations for meetings and conferences; coordinating client visits, company gifts, holiday cards, and other undertakings as directed.
- Various other duties as assigned.
Required skills and qualifications
- Associate or bachelor’s degree
- Studies or experience in natural resources, conservation, environmental management or forestry preferred.
- At least three years of related, professional experience.
- Demonstrated experience managing projects or programs in a team setting.
- Ability to create clear project plans, action item trackers, status reports, meeting summaries, dashboards, and process documentation.
- Excellent verbal and written communication skills with the ability to convey complex topics in a clear, concise and practical manner.
- Strong interpersonal skills and a demonstrated ability to work effectively in a team environment and across business functions.
- High level of personal initiative, reliability, accountability, and sound judgment.
- Strong planning, organizational, and prioritization skills, including the ability to manage competing deadlines and adjust workplans as conditions change.
- High level of integrity when handling proprietary, confidential, audit related or business sensitive information.
- Technically proficient with Microsoft 365 tools including Word, Excel, PowerPoint, Teams, SharePoint, One Drive, and Outlook. Experience with Asana, Toggl, and AI tools or similar workflow and reporting tools preferred.
High comfort with virtual communication, remote collaboration, document management, and shared project tracking systems.
