The Administrative and Development Coordinator will be involved with a wide variety of clerical and administrative tasks in OFI’s head office. Must be proficient with word processing, spreadsheet and presentation software. Duties also include fielding telephone calls, filing and data entry. May assist with overflow work from other staff.

This position reports to OFI’s Director of Development and Administration and OFI’s President and is based in the west Los Angeles-Santa Monica area, California. 

This is a full time position (40 hours per week) with a salary beginning at $35,000 per year. Health Insurance (Blue Shield PPO 0/30) is provided by employer.

Responsibilities

Data entry & database management

  • Responsible for compiling and sorting information relating to donor records, OFI history, promotional materials, etc.
  • Ensure that all donations are entered and/or imported into the databases.
  • Manages donation acknowledgement process including ensuring the appropriate Acknowledgement Letters are sent to donors within one week of the donation being received.
  • Responsible for ascertaining and establishing entry priorities, for tracking data entry and order fulfillment. Will request assistance from other OFI staff as needed to meet deadlines/fulfill orders in a timely fashion.
  • Maintains operations by following policies and procedures; reporting needed changes, backlogs, or issues.
  • Ensures customer confidence and protects operations by keeping information confidential.
  • Assist in maintaining Donor Snap database, ensuring that it is at all times current and up-to-date.
  • Help to maintain mailing lists, both for online/email communication and printed mailings. Update and change the mailing addresses in DonorSnap when required.

 Customer Service

  • Handle the packaging and shipping of merchandise, foster, or other orders.
  • Update and re-order merchandise and program materials as needed.
  • Handle general inquiries for the public as needed, via phone, email, etc. Redirect detailed or strategic inquiries to the appropriate party.
  • Maintains relationships with and sends educational and promotional materials to youth/school groups.

Assist with all OFI stakeholders and office-based processes

  • Conference Calls with field-based team members as necessary (may involve night/weekend flex hours).
  • Trains and supervises office volunteers.
  • Will perform a variety of research functions as needed. This may include researching solutions for IT and software issues, compiling dossiers on funding institutions or potential fundraising partners, generating summaries on various topics, general fact-finding, or logistical inquiries for upcoming events.
  • May assist with grant applications and the development of fundraising campaigns as needed.
  • Facilitate communication between various OFI stakeholders as needed.
  • Will assist with any other special projects, events, or campaigns as directed by office staff, Dr. Galdikas, or other OFI member.
  • Assist with all other office functions. Be familiar with all of the day-to-day clerical and administrative tasks in order to step in as needed.

Requirements

  • Bachelor degree strongly preferred.
  • Administrative/clerical experience required, preferably in an office and/or non-profit setting.
  • Experience or interest in non-profit development.
  • Customer Service experience preferred.
  • Professional phone etiquette and comfortability in fielding phone calls required.
  • Excellent computer skills; proficient and creative in use of Microsoft Word and Excel. Experience with photo editing a plus.
  • Strong writing skills. Experience with proofreading, ability to identify and correct grammatical errors.
  • Enjoy working with people, highly personable, friendly, and diplomatic. Works equally well independently and as a team-member.
  • Ability to multi-task and to pursue many projects in parallel, to keep all tasks organized, and to help all participants stay on a timeline.
  • Passionate about conservation, animal welfare and environmental activism. Understands OFI’s mission, history, goals, ongoing projects, campaigns, field operations, and the peripheral issues.
